Looking for a new and exciting job opportunity? The TTC's Vehicle Programs Department is looking for a Project Coordinator to join our team!
What You Will Do
Reporting to the Program Manager, you will provide overall project and program management support, including planning, coordination, integration, and administration activities to ensure the successful delivery of assigned projects and program initiatives within the Innovation and Sustainability Group (ISG) Capital Projects portfolio.
In this role, you will be responsible for the implementation and management of complex, multi-year and multi-disciplinary capital projects, programs, and portfolios, guiding them through all phases of the project lifecycle, from inception and planning through design, procurement, production, safety certification, commissioning, and project close-out.
You will exercise strong analytical and problem-solving skills to coordinate activities across multiple Capital Projects, ensuring priorities are aligned and project objectives are achieved efficiently and effectively.
This role will require you to coordinate and manage activities across projects and programs, ensuring interdependencies are identified, communicated, and actively managed to support seamless project integration and successful program delivery.
As a key contributor to program success, you will assist in developing performance targets and evaluation criteria to measure project effectiveness, including the development, monitoring, and reporting of key performance indicators (KPIs) that support informed decision-making and continuous improvement.
You will identify gaps between project requirements and the TTC's ability to achieve broader organizational objectives, evaluating options and providing recommendations that consider budget constraints, resource requirements, staffing levels, and project schedules.
In this role, you will develop and implement project control systems, cost evaluation methodologies, and performance assessment criteria for consultant and contractor selection in accordance with established corporate policies, standards, and governance requirements.
You will liaise with internal and external stakeholders to review project and program impacts, ensuring activities are coordinated effectively and that the interests and operational needs of the Innovation and Sustainability Group are protected throughout project execution.
As a trusted partner, you will establish and maintain strong working relationships with key stakeholders across the organization, building alignment and securing support for project objectives, deliverables, and outcomes.
You will prepare and present reports, briefing materials, presentations, and Board Reports for both internal and external audiences, translating complex project information into clear and actionable recommendations.
This position will require you to identify, monitor, and provide oversight of project and program interdependencies, proactively resolving conflicts and issues as they arise to minimize impacts on project delivery.
You will manage project scope, budgets, and schedules to ensure projects remain within approved financial and timeline commitments, while monitoring progress, mitigating risks, and implementing corrective actions when necessary to maintain project performance.
In this role, you will evaluate and assess the effectiveness, outcomes, and overall success of projects, initiatives, and programs within the Group, using lessons learned and performance insights to support continuous improvement and future program planning.

What Qualifications Do You Bring?
- Your educational background will consist of University Degree or College Diploma in a related discipline, along with several years of experience in administration/coordination; or a combination of education, training, and experience deemed to be equivalent.
- Additionally, you must be a Certified associate in project management (CAPM), Project Management Professional (PMP) or Program Management Professional (PMP) certification, or have similar certification, or be eligible to achieve certification.
- Your application will reveal knowledge of legislations pertaining to vehicle equipment, labour, safety and environmental issues and carhouse, shop and project planning and principles, and engineering and configuration change management.
- You must have or rapidly acquire an understanding of quality assurance and Control standards, life cycle management, costing, and knowledge of data collection, validation, analysis and uses.
- Your application will reveal experience in the areas of general project management and engineering management of transit vehicles and/or large multi-disciplinary projects.
- Your application will reveal good working knowledge of and experience applying best practices, procedures and principles of project, program and portfolio management methodology and governance.
- Your application will also reveal good knowledge and understanding of business administration concepts and practices as well as protocols, policies, procedures and practices relevant to corporate meetings.
- You must have superior oral and written communication skills as well as presentation abilities.
- You must have the ability to effectively manage multiple projects and changing priorities, and make sound decisions in a timely manner, in a fast-paced environment.
- Your application will reveal proficiency in the use of computer-based scheduling systems and other computerized applications related to the work (e.g. MS Project, Maximo, Microsoft Word, Excel, PowerPoint, Access, SharePoint, etc.)
- Your application must also reveal sound judgement and ability to work independently; strong analytical skills and organizational skills to handle several priorities at once; good attention to detail.
