Trans Mountain Corporation operates Canada’s only pipeline system transporting oil products to the West Coast. We deliver approximately 890,000 barrels of petroleum products each day through a dual pipeline system of more than 1,150 kilometres of pipeline in Alberta, British Columbia and Washington state.

Trans Mountain also operates a state-of-the-art loading facility, Westridge Marine Terminal, with three berths providing tidewater access to global markets.

Trans Mountain is seeking a collaborative, motivated, and values driven individual to join our dynamic team as an Executive Assistant. In this position, you will play a key role in providing comprehensive legal and executive administrative support to the in-house Legal team. This role supports counsel and department leadership across a broad range of matters, including regulatory affairs, Indigenous relations, human resources, civil litigation, business development, and commercial transactions. The position is responsible for coordinating legal documentation, managing confidential information, supporting departmental operations, and ensuring the efficient administration of legal and executive activities within the Legal department.

Key Responsibilities

Responsible for document preparation, editing, proof-reading and review including letters, agreements, presentations and spreadsheets.
Managing calendars for Legal Team.
Preparation of business visitor travel letters to the U.S. and arranging for approval and signature; work with external counsel to prepare other immigration documents required for TN Visas.
Assemble and provide weekly Legal Department Reports for Senior Management Committee meetings.
Coordinate and prepare bi-weekly Legal Department meetings.
Legal research as required including confirming provisions of statutes.
Coordination of internal meetings, lunches and presentations.
Work with other assistants to coordinate schedules and materials, and support other assistants, managers, field advisors and staff that might be involved in these meetings.
Organize Legal Team travel and events including itinerary, external meetings, planning logistics and interaction and booking venues.
Financial Administration including review of legal invoices to ensure billing accuracy; tracking of external legal spending by TM entity, matter and firm and assist managing costs; updating coding list provided to Accounts Payable; tracking of comparables.
Provide additional support regarding Board matters as needed.
Coordination of execution and collection of contracts; maintain and organize electronic filing system for signed contracts.
Organization and maintenance of the Legal department files, records, SharePoint, etc.

Qualifications and Professional Experience

Some post-secondary education would be considered an asset.
10+ years of executive-level administrative experience in an operating environment.
Specific knowledge of the pipeline and construction industry would be an asset but not required.
Takes initiative and proactively support the Executive in a range of tasks while ensuring things run smoothly so the Executive can focus on high value work.
Ability to anticipate the needs/preferences of the leader.
Committed to the highest level of integrity and confidentiality.
A track record of delivering high‑quality work, managing competing priorities, and supporting key business processes or operational functions.
Demonstrated ability to work effectively with colleagues and stakeholders from a variety of backgrounds and levels across the organization.
Ability to demonstrate tact, diplomacy, and professionalism, and exercise discretion.
Flexible and ability to adjust as needed to competing demands.
Strong communication skills, both verbal and written, strategic thinker, and problem solver.
