Role Description This full-time Executive Administrative Assistant role is an on-site position based in the Greater Toronto Area, Canada. The Executive Administrative Assistant will support senior leaders by managing calendars, scheduling meetings, organizing travel arrangements, and preparing correspondence and reports. This role includes coordinating client meetings, maintaining accurate records and files, and handling incoming calls and emails with professionalism and discretion. The Executive Administrative Assistant will assist with office administration, document preparation, data entry, and follow-up tasks to ensure smooth daily operations. The role also involves collaborating with team members, protecting confidential information, and providing proactive support to enhance efficiency and client service.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage calendars, records, documents, and office coordination.
- Executive Administrative Assistance experience in supporting senior leaders, handling confidential information, and prioritizing tasks.
- Effective Communication and professional Phone Etiquette skills for interacting with clients, partners, and internal stakeholders.
- Proficiency with office productivity tools (e.g., Microsoft Office or Google Workspace) and basic data entry and reporting skills.
- High attention to detail, strong organizational abilities, and a focus on accuracy and follow-through.
- Ability to work on-site in the Greater Toronto Area, manage multiple deadlines, and adapt to changing priorities.
- Previous experience in financial services or professional services environments is an asset.
- Post-secondary education in Business Administration or a related field, or equivalent experience, is preferred.
