The Role
We're looking for a detail-oriented and highly organized Transitions Coordinator to join our team in Delta, BC.
This role plays a key part in ensuring a smooth experience when properties join or leave Tribe's management portfolio. As part of our national Transitions team, you'll help coordinate onboarding and offboarding activities, maintain critical records and data, support process improvements, and contribute to projects that impact our operations across Canada.
This role is ideal for someone who enjoys keeping projects organized, working with data and documentation, and helping ensure a seamless transition experience for properties and clients across Canada.

What You'll Be Doing
Support Property Transition Projects
Partner with the Transitions Team Lead and assist with a variety of initiatives, including:

Property onboarding and offboarding
Agency agreement administration
Parking and locker management projects
Corporate acquisitions and integrations
Ongoing process improvement initiatives

Maintain Data and Documentation
Assist with the preparation, organization, and maintenance of key transition records by:

Creating and updating onboarding templates
Preparing Form Ds and other administrative documentation
Drafting annual fee increase notices
Updating vendor information and account records
Managing digital file structures and document organization
Updating and standardizing file naming conventions
Creating parking and locker inventories for new communities
Maintaining homeowner records and documentation
Ensuring accurate data entry across multiple systems, including:
- Yardi
- Zoho
- Tribe Home
- Other internal business systems as required

Administrative & Team Support

Coordinate tasks and follow-ups to keep transition projects on track
Assist with data cleanup and quality assurance reviews
Support cross-functional teams during onboarding and offboarding periods
Help identify opportunities to improve workflows and efficiency
Contribute to maintaining accurate records and ensuring a high-quality client experience throughout the transition process

What You'll Bring

1+ year of experience in an administrative, customer service, coordination, or operations-focused role
Strong organizational skills and exceptional attention to detail
Ability to manage multiple priorities in a fast-paced environment
Excellent written and verbal communication skills
Proficiency with Microsoft Office applications and the ability to learn new software systems
Ability to lift and move boxes weighing up to 25 lbs when required

Nice to Have

Experience in property management, real estate, or a related industry
Experience using Yardi, Zoho, Tribe Home, or similar business systems
Experience working with document management, data administration, project coordination, acquisitions, or process improvement initiatives
