Job Description

The Senior Executive Assistant plays a central role in helping assigned members of Tricon’s executive leadership team stay focused, prepared and connected. Through thoughtful coordination, sound judgment and a clear understanding of executive priorities, the Senior Executive Assistant anticipates needs, brings structure to complex schedules and keeps important commitments moving forward. They are a trusted point of connection across the organization and handles sensitive matters with professionalism and discretion.

Our Toronto corporate office is located in Bloor-Yorkville, offering a central, transit-accessible location surrounded by restaurants, shops and neighbourhood amenities.

Essential Duties and Responsibilities:

Executive Support and Priority Management

Provide proactive, high-level support to one or more executives, developing a clear understanding of their priorities, anticipating needs and helping them remain focused on their most important commitments.
Manage complex executive calendars, balancing business priorities, resolving conflicts and coordinating commitments across internal and external stakeholders.
Manage the flow of executive communications and incoming requests, identifying time-sensitive matters, coordinating responses and maintaining visibility of key deadlines, approvals and decisions.
Plan domestic and international travel, including detailed itineraries, accommodations, transportation and schedule changes, and complete expense reports and corporate card reconciliations accurately and on time.

Meetings, Communications and Special Projects

Deliver well-organized internal and external meetings, leadership sessions, off-sites and executive-sponsored events by coordinating schedules, meeting spaces, technology, catering and other logistics.
Create, edit and refine correspondence, presentations, agendas, reports and other executive materials, ensuring each is accurate, polished and appropriate for its intended audience.
Attend meetings as required to capture decisions and action items, coordinate follow-up and help maintain momentum on key commitments.
Conduct research, gather information and contribute to special projects or departmental initiatives as requested.
Maintain clear, organized and secure electronic records, correspondence and executive documentation.

Stakeholder Coordination and Executive Office Effectiveness

Serve as a trusted point of connection between assigned executives and employees, senior leaders, external partners and other stakeholders, working closely with Executive Assistants and teams across the Company to support effective communication and collaboration.
Identify practical opportunities to improve administrative processes, templates, tools and ways of working within the executive office.

Qualifications:

Demonstrated ability to support senior or C-suite executives with the independence, foresight, judgment and discretion required to anticipate needs and manage complex priorities.
Excellent organizational and time-management skills, with careful attention to detail and a calm, resourceful approach to changing priorities.
Polished written and verbal communication skills, including the ability to prepare executive-level correspondence, presentations and reports.
Professional and collaborative interpersonal skills, with the ability to build trusted relationships across all levels of an organization.
Advanced proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Excel and Teams, and the ability to learn new systems and technology quickly.

Minimum Requirements:

8-10+ years of progressive executive support experience, including direct support to multiple C-suite or senior executives with competing priorities in a complex corporate environment.
Post-secondary education in business administration or a related discipline, or an equivalent combination of education and relevant experience.

Preferred Attributes:

Experience supporting senior executives in real estate, financial services, professional services or another complex corporate environment.
Experience working across functions and coordinating with leaders and teams in multiple locations or time zones.
Experience improving executive-office processes and using technology to increase efficiency and organization.

Work Schedule: This is a hybrid role, requiring in-office attendance Monday through Thursday, with Fridays worked in office on a rotating basis.
