Position Title: Administrative Assistant - KCFS
Salary: $50,651-$59,095 annually

About The Role
The Administrative Assistant provides clerical and administrative support to the K'wak'walat'si Child and Family Services (KCFS) C3 Delegated Aboriginal Agency team.
This role supports the day-to-day administration of KCFS by maintaining client and service records, coordinating documentation, assisting with events and programs, and providing general administrative support to the team. The successful candidate will be organized, reliable, adaptable, and comfortable working in a collaborative and changing environment.
Key Responsibilities
- Create and maintain Service Request, Family Service, and Resource files for KCFS
- Maintain administrative and client files within the Ministry computer database system
- Prepare documents for transfers in and out
- Meet with the delegation team on a biweekly basis
- Organize and assist with KCFS events, activities, and programs
- Provide general administrative support, including paperwork and purchase orders
- Assist with Extended Family Plan benefits and related administration
- Coordinate administrative details such as catering, honoraria, and travel
- Collaborate with team members and external partners to support accountability and effective service delivery
Skills and Experience
- Two years of experience working with client records is considered an asset
- Experience using computer programs and applications, including databases, Microsoft Excel, internet applications, keyboarding, and word processing
- Strong written and verbal communication skills
- Ability to plan, organize, and coordinate complex administrative details
- Ability to work effectively in a challenging environment and adapt to change
- Ability and willingness to collaborate with team members and external partners
- Reliable, hardworking, and well-organized
Education/Qualifications
- Grade 12 or equivalent preferred
- Certificate or diploma in office management, administrative support, or a related field is considered an asset
- Valid BC Class 5 Driver's Licence and access to a reliable vehicle
- Clean criminal record check appropriate for working with children and vulnerable adults
Other Job Requirements
- Ability to work flexible hours, including evenings and weekends
- Ability to handle client and administrative records appropriately
- Ability to work collaboratively as part of the KCFS team
