Original job description
Client Relationship Associate
Tulett, Matthews & Associates
Tulett, Matthews & Associates (TMA) is an independent wealth management firm serving clients through discretionary portfolio management and financial planning. We are seeking a Client Relationship Associate to support a portfolio manager and help deliver a responsive, organized experience for clients.
The role
You will be a key point of contact for clients and will coordinate the service and administrative work that supports their accounts. You will work closely with a portfolio manager and colleagues in trading, financial planning, tax, operations and compliance. The role calls for sound judgment, careful follow-through and comfort managing several requests at once.
As you learn our clients and processes, you will take ownership of assigned work: keeping requests moving, records accurate and meetings well prepared. You will also help with selected marketing and business development activities.
This is much more than a traditional administrative position. We are looking for someone who understands the wealth management environment, is comfortable interacting directly with High-Net-Worth clients, and can eventually take ownership of the many operational, administrative, marketing and service-related activities involved in managing client relationships.
The goal is that clients feel well taken care of, requests are handled accurately and promptly, documentation is organized and complete, and the advisor can confidently rely on you to manage important aspects of the client-service process. Over time, we would expect you to become a trusted partner to both the advisor, the TMA team and the clients we serve.
Key responsibilities
Client service and portfolio manager support
· Respond to day-to-day client requests professionally and promptly, and coordinate follow-up with the portfolio manager and relevant teams.
· Coordinate deposits, withdrawals, transfers, registered account requests and other account activities through the appropriate processes.
· Manage systematic client outreach campaigns (e.g., RRSP season, tax season, event invitations, etc.)
· Track open requests, documents and deadlines; follow up with clients and colleagues until each item is resolved.
· Schedule client meetings, reviews and calls, prepare meeting materials and organize follow-up actions.
· Take ownership of assigned responsibilities rather than waiting for instructions on every task.
· Assist in coordinating wealth management services such as: portfolio management, retirement planning, tax services, estate planning, philanthropic giving and insurance reviews.
Prospects and client onboarding
· Arrange prospect meetings and prepare introductory materials.
· Help prepare proposals and presentations, gather information and coordinate follow-up.
· Prepare and track account-opening documents and support clients through onboarding.
Client records and compliance support
· Maintain complete, accurate and organized client files and update client information in the CRM.
· Help prepare, track and file KYC, AML, investment management agreement and investment policy statement documentation.
· Coordinate with operations and compliance when information, documents or approvals need attention.
Marketing and business development support
· Support the portfolio manager and broader team with various marketing and business development initiatives
· Maintain prospect information and help track appropriate follow-up activities.
Qualifications
What you bring
· Strong written and spoken French and English, with clear, professional communication.
· Relevant experience in wealth management, investment management, financial services or a related client service role. Experience supporting a portfolio manager or investment advisor is an asset.
· Familiarity with client onboarding, investment accounts and registered plans, or the ability to learn these processes quickly.
· An understanding of the importance of accurate records, confidentiality and compliance procedures.
· Confidence using Microsoft Outlook, Word and Excel, and comfort learning CRM and account systems.
We are looking for someone who is:
· Client-focused – you enjoy helping people and understand the importance of responsiveness and professionalism.
· Highly organized – you can manage numerous client requests and deadlines without losing track of details.
· Detail-oriented – you understand that accuracy is essential when dealing with clients’ financial affairs.
· Proactive – you anticipate what needs to happen next and follow through without constantly being reminded.
· Accountable – when you take responsibility for something, you make sure it gets completed.
· Comfortable with complexity – you can work with multiple accounts, entities, documents and competing priorities.
· Collaborative – you enjoy working as part of a team and helping colleagues succeed.
Benefits
· Hybrid work arrangement available
· Competitive base salary
· Attractive bonus opportunity
· Comprehensive health and benefits package
· Employer-funded retirement savings
· Paid time off
· Team and company events
