Who are you?

We are looking for a proactive Business Support Coordinator who thrives in a fast‑moving environment, enjoys working with senior stakeholders and wants to grow within an organisation committed to learning and high standards. This is an in‑office role, providing consistent support to colleagues and leadership onsite.

Job Description

Coordinate the "Bid to Win" process for pursuits across the Canadian business, engage directors and subject matter experts to deliver high-quality submissions.
Plan and support meetings: book rooms, prepare and distribute documents, capture actions and follow up.

Take concise minutes and maintain action logs that drive accountability.

Support calendar management and travel logistics (flights & accommodations)

Raise invoices and purchase orders and track status.

Support document control with quality assurance & control.

Assist with the preparation of reports and presentations.

Qualifications

At least 5 years of experience in administrative support role.

Excellent written and verbal communication skills and strong attention to detail.

Experience supporting meetings with senior management present.

Document control experience (highly desirable).

Proactive, organized and focused on delivering quality work.

Attention to detail and ability to follow up on actions and tasks (essential).

Confident using Microsoft 365 tools at an intermediate level; Microsoft Visio is an advantage.

Post-secondary education (certificate, diploma or degree) is preferred.

Experience in consultancy strongly preferred.

Responsibilities

Coordinate bid submissions across the Canadian business, working with directors and subject matter experts to produce high-quality proposals. Support meetings, calendars, travel, invoices, purchase orders, document control, reports, and presentations, while tracking actions and following up.

Requirements

Applicants must have at least five years of administrative support experience, strong written and verbal communication, attention to detail, and experience supporting meetings attended by senior management. Document control experience and consultancy experience are strongly preferred; intermediate Microsoft 365 skills are expected, and post-secondary education is preferred.
