With a focus on service excellence, continuous improvement, and employee experience, the Supervisor helps create workplaces where employees feel valued, supported, and proud to work.

This position is located in Calgary at UFA’s Westmount Campus and works a hybrid schedule.

Responsibilities:

  • Coordinate corporate office searches, lease renewals, relocations, renovations, buildouts, and workplace refresh projects.
  • Partner with People & Culture and business leaders to align workplace strategies with workforce growth, employee needs, accessibility requirements, and space utilization.
  • Manage relationships with landlords, brokers, contractors, designers, and project partners to deliver approved workplace initiatives on time and within budget.
  • Develop recommendations, business cases, and workplace solutions that balance employee experience, operational requirements, and financial stewardship.

Workplace Operations & Service

  • Lead the Facilities Lead, Facilities Coordinator, mailroom operations, and vendor-delivered workplace services.
  • Oversee maintenance, repairs, cleaning, security, parking, utilities, access control, office equipment, and meeting spaces across corporate office locations.
  • Ensure workplace services are delivered consistently, efficiently, and in accordance with established service standards.
  • Resolve workplace issues quickly and effectively while maintaining a high level of customer service.

Workplace Experience

  • Create and maintain welcoming, safe, and professional work environments for employees, candidates, and visitors.
  • Partner with the greater People & Culture and Communication teams to support meetings, leadership events, employee gatherings, and workplace activations.
  • Ensure shared spaces, amenities, signage, accessibility features, and workplace touchpoints reflect UFA’s standards and culture.

Governance, Safety & Financial Management

  • Manage workplace budgets, forecasts, purchase orders, invoices, contracts, lease records, and vendor performance.
  • Ensure compliance with safety, accessibility, emergency preparedness, and regulatory requirements.
  • Identify and implement cost-saving opportunities while maintaining service quality and employee experience.
  • Monitor workplace risks and escalate significant operational, financial, or safety concerns as required.

Qualifications:

  • A post-secondary education in Facilities Management, Business, Project Management, Real Estate, or a related field; equivalent experience will be considered.
  • A minimum of 8 years of progressive experience in facilities management, workplace operations, office management, or a related discipline, including leadership or supervisory experience.
  • Experience managing office relocations, lease renewals, renovations, workplace projects, and corporate facilities operations.
  • Strong understanding of commercial leasing, building operations, procurement, vendor management, workplace safety, accessibility, and emergency preparedness.
  • Demonstrated financial acumen, including budgeting, forecasting, business case development, and cost analysis.
  • Exceptional project coordination, communication, problem-solving, and stakeholder management skills.
  • Experience with SAP, Microsoft Office, workplace service systems, or space-planning tools is considered an asset.
  • Experience in fast-growing, transformation, or change-oriented environments is preferred.
  • Service-oriented leader who takes pride in creating workplaces where people feel welcome and supported.
  • Builds trust through accountability, collaboration, practical problem-solving, and attention to detail.
  • Approaches challenges with a hands-on mindset while balancing employee experience, operational effectiveness, and responsible stewardship of company resources.
