Reports to: Manager
Wage Range: $30.04 - $45.06 per hour
Hours: 7.5 Hours per Week
Status: Casual
Closing Date: October 15, 2026

Duties

The Administrative Coordinator exercises decision making capabilities, judgment and independence to coordinate complex administrative support for the Pre-Admission Clinic, including:

Utilizing advanced functions to provide word processing/typing services to facilitate the production of complex documents/materials
Analyzing departmental workload statistics, identifying and bringing critical areas to the attention of the Manager
Coordinate and monitor patient flow in the Preadmission Clinic to support efficient throughput and minimize delays
Track patient movement and identify bottlenecks that may affect flow
Facilitate communication between clinical teams, departments, offices to ensure seamless patient transitions
Escalate flow concerns and capacity issues to operational leaders as appropriate
Liaise with physicians, nursing, administrative assistants and booking clerks
Proactively communicate with patients regarding scheduling changes or outstanding requirements
Support a positive patient experience by ensuring timely and coordinated care transitions

Qualifications

Experience working in a health care environment an asset
Ability to maintain patient confidentiality
Previous working experience with workflow, coordination of information, and EPIC is an asset
Demonstrated commitment to the delivery of excellent customer service
Excellent interpersonal and patient/customer service skills; sensitivity to patients and families, fears and anxieties – ability to use good judgement in assessing and/or responding to difficult situations
Excellent organizational and time management skills
Ability to produce detail-oriented, accurate work – ability to establish, maintain, and adhere to priorities – statistical data, tracking of metrics as required
Knowledge of Medical terminology required
Excellent verbal and written communication skills
Demonstrated ability to function as a productive team member
Completion of a Grade XII or recognized equivalent
Completion of a recognized medical post secondary program at the certificate level
Five (5) years related administrative support experience

To be considered for this role, you must have significant experience in managing time and tasks within an extremely busy professional office and clinical environment, and have the ability to focus on the priorities of a rapidly changing day. You have excellent MS Office applications skills, especially Outlook, and Word, Excel; superb organizational and time management skills and the ability to multitask effectively.

The successful incumbent will show initiative and work well with a wide range of people throughout the organization. They will also be insightful, mature and tactful, remain calm under pressure and confident in their capability to perform well in the job and make it their own.
