Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.
The Experiential Education Coordinator (EEC) plays a key role in delivering high‑quality experiential rotations for students in the PharmD and PharmD for Practicing Pharmacists (PPP) programs. This position blends independent work with strong team collaboration, coordinating the detailed and time‑sensitive tasks that ensure placements run smoothly across diverse learning environments.
Reporting to the Manager, Academic Programs and Student Services and the Director, Experiential Education, the EEC provides responsive, service‑focused support to Directors, Managers, course coordinators, instructors, site preceptors, and students. The role also works closely with the Team Lead, Student Services to maintain clear communication, accurate placement administration, and a positive experience for all stakeholders involved in experiential learning.
Responsibilities
Experiential Education Placement Administration and Assessment
- Develop and maintain accurate records for reporting and accreditation including report generation and dissemination to course coordinators
- Communicate with students regarding placements/rotations, CORE ELMS issues, registration, prerequisites for local and out-of-province placements etc.
- Assists course coordinators in identifying new preceptors and assigning students in CORE ELMS if a preceptor cancels or when multi-site coordinators require help with assigning students to preceptors
- Distribute, collect and review student evaluations and bring forward concerns
Administration and Support of Rotations, Courses and Programs
- Initiate and maintain positive working relationships with placement sites
- Liaise with the Rural Health Professions Action Plan (RhPAP) with respect to housing accommodations for students going to a rural or suburban setting
- Coordinate the preceptor awards process
- Facilitating orientations with Director, Experiential Education for first, second and fourth year PharmD students and PPP students ahead of matching
Qualifications
Minimum Qualifications
- High School diploma, preference given to those with a Bachelor’s degree in any relevant field; an equivalent mix of education and experience will be considered.
- Experience supporting students, clients, or stakeholders in an administrative, service, or coordination role.
- Strong organizational skills, with the ability to manage time‑sensitive tasks and maintain accuracy in a fast‑paced environment.
- Clear, professional communication skills (written and verbal), with the ability to build positive relationships.
- Demonstrated ability to work independently, take initiative, and contribute effectively to a collaborative team.
Preferred Qualifications
- Experience with student services, experiential learning, or work‑integrated learning (WIL) environments.
- Proficiency with Campus Solutions, Slate, Google Suite, or similar student information or CRM systems.
- Comfort using learning management systems or placement‑management tools; training will be provided for CORE ELMS.
- Knowledge of University of Alberta policies, procedures, and academic processes (or comparable institutional experience).
- Ability to prioritize competing deadlines, solve problems proactively, and adapt to changing needs.
- Strong interpersonal skills, with the ability to communicate respectfully and constructively with diverse stakeholders.
