Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.
The Student Record & Open Studies Coordinator reports to the Assistant Registrar, Enrolment Services and has a dual role within the Office of the Registrar. Coordinators utilize their specialized understanding of records, registration and fees policy and procedure to provide both direct and indirect student services and support student service units, such as student services, undergraduate faculties, departments and continuing education teaching departments.
Through all service provision, the coordinator ensures the accuracy and completeness of the student record. They provide Faculty Student Services for Open Studies students. Through the combined roles, the coordinator works to ensure that a ‘Student First’ experience is provided to the students of the University of Alberta. Coordinators work in a team environment that is composed of the Assistant Registrars, Specialists, and Coordinators.
Responsibilities
- Support Registration across undergraduate and continuing education, providing lateral support for graduate studies by request. The Coordinator becomes an expert in registration transactions for individual students as well as mass processing.
- Support students by understanding how their registration translates into academic status as well as impacts their fee assessment. Working within the team, they are experts in tuition and fee assessment across all careers.
- Support the Faculty of Open Studies and give students direct support through their Open Studies career. This can include, but not limited to: approving withdrawals, reviewing deferred exams, approving grade changes and informing students of University policies and procedures.
- Support Faculties, Departments and other Registrar's Office Units by applying expertise in policy and procedure related to Registration, Student Academic Records and Fees. The broad range of expertise helps support the University community both in activating and inactivating students' programs, providing records correction support, and reviewing for conditions within the database that need to be resolved.
- Responding to inquiries, participating in monitoring and overall ensuring the student and the university meet our guarantee commitments.
- Contributing to a team atmosphere, building positive formal and informal relationships within the context of University and Office of the Registrar goals.
- Use functional skills and learnings to ensure the student and process are seamless where possible and contribute their developed expertise to continuous improvement.
Qualifications
- A University degree is preferred; however, a minimum of a two-year diploma is required.
- 2 years of office-related experience with knowledge of University policies and procedures.
- Familiarity with Campus Solutions and University policies required.
- A logical and analytical mind with an aptitude for problem solving and troubleshooting.
- Experience working in a team environment.
- Strong customer service skills.
- High attention to detail and analytical skills.
- Ability to problem-solve and handle multiple tasks in a strict policy environment.
- Experience within the areas of records, registration and fees is an asset.
