Location - This role is in-person. Work primarily takes place at North Campus Edmonton.
Reporting to the Education Manager, the Team Lead, Education Programs provides operational and administrative leadership for one or more assigned education portfolios within the Department of Family Medicine. Portfolio assignments may change over time to respond to program priorities, workforce needs and the evolving medical education environment.
As a member of the Department’s education leadership team, the Team Lead translates strategy and departmental priorities into coordinated operational plans, processes and practices. The position works closely with the relevant academic Program Director(s), other Education Team Leads and the Department’s broader administrative leadership team to promote alignment, consistency and continuous improvement across the education portfolio.
The Team Lead provides day-to-day leadership and formal supervision to assigned administrative staff and oversees program administration supporting learners, faculty and teaching sites. Accountabilities include learner engagement and recruitment, scheduling and program coordination, educational activities, assessment and evaluation, accreditation, policy and process implementation, budget oversight, workforce planning, workload coordination and service coverage.
The role requires strong leadership, communication and organizational skills; sound judgment; and the ability to manage competing priorities and address operational issues with a high degree of independence. Experience working with rural, regional or distributed medical education programs and an understanding of the opportunities and challenges facing rural communities are considered assets. The Team Lead is expected to build expertise in the assigned portfolio while contributing flexibly across the broader Education team.
Responsibilities
Operational and Departmental Leadership
- Supports the Education Manager in translating the Department’s vision, strategic priorities and education strategy into operational plans, practices and priorities for the assigned portfolio.
- Provides senior administrative leadership and subject-matter expertise to the Education Manager, Program Director(s), program leadership, faculty, residents and administrative staff.
- Works collaboratively with the other Education Team Leads and the Department’s administrative leadership team to promote alignment, consistency and integration across the Education portfolio and broader Department.
Learner Engagement, Recruitment & Program Coordination
- Evaluates recruitment processes and recommends improvements that support program and Department priorities.
- Oversee learner engagement, recruitment and selection processes applicable to the assigned portfolio, including CaRMS and other institutional or program-specific processes.
- Coordinate applicant review, interview planning, communications, post-interview processes and ranking support, where applicable.
- Oversee the integrity and effectiveness of learner schedules, rotations, electives and related program requirements.
- Anticipate scheduling and placement pressures and work with program leadership, teaching sites and staff to resolve gaps and maintain continuity.
- Oversee remedial, supplementary or individualized training administration, where applicable.
- Evaluates recruitment processes and recommends improvements that support program and Department priorities.
Learner and Educational Program Support
- Oversee the planning and administration of educational activities, including seminars, workshops, academic sessions, events, committees and program materials.
- Ensure responsive, consistent and learner-centred administrative support across the assigned portfolio and its teaching sites.
Quality, Evaluation & Accreditation
- Ensure complete, accurate and timely learner assessment, evaluation and program records are maintained in applicable systems.
- Oversee collection, validation, analysis and reporting of information used for program monitoring, evaluation and improvement.
- Lead administrative preparation for accreditation reviews and in-person visits, including information collection and entry into CanAMS or other applicable systems.
- Coordinate accreditation work with UME, PGME and relevant internal and external stakeholders.
Program Operations and Policy
- Contributes to the development, implementation and review of policies, procedures, protocols and administrative practices affecting the assigned portfolio.
- Ensure program operations align with Department and Faculty policies, accreditation standards, collective agreements and regulatory requirements.
- Provide guidance to staff on scheduling, learner leaves and interpretation of relevant policies, agreements and program requirements.
- Oversee portfolio budgets, including planning, monitoring, forecasting and identification of pressures or variances.
- Maintain effective information management, documentation, reporting, privacy and administrative controls.
Team leadership and People Management
- Provide formal supervision, day-to-day leadership and work coordination to assigned administrative staff.
Partnerships and Senior Administrator Responsibilities
- Build and maintain effective relationships with UME, PGME, program and site leadership, faculty, learners, community teaching partners and administrators at other institutions.
- Liaise with organizations such as the College of Family Physicians of Canada, CaRMS and other educational or regulatory partners relevant to the portfolio.
- Represent the assigned portfolio and Department at committees, planning tables and local, provincial or national medical education events.
- Perform other related leadership responsibilities required to support the Education portfolio and Department.
Qualifications
Education and Experience
- University degree in administration, business, education, social sciences or a related discipline. A relevant diploma combined with equivalent experience will be considered.
- Minimum five years of progressively responsible administrative experience, preferably in medical education, post-secondary education or health care.
- Demonstrated experience supervising staff, leading teams and coordinating work across multiple programs or service areas.
- Experience managing budgets, projects and complex operational processes.
- Experience with undergraduate or postgraduate medical education, CaRMS, CFPC accreditation or quality improvement is considered an asset.
Skills or Training
- Strong leadership, interpersonal and team-building skills, with the ability to foster a collaborative, accountable and inclusive workplace culture.
- Excellent communication, organization, project management and problem-solving skills.
- Demonstrated judgment and initiative, with the ability to manage competing priorities and work independently in a complex, rapidly changing environment.
- Ability to interpret and apply policies, procedures, collective agreements, accreditation standards and program requirements.
- Ability to prepare, monitor and interpret budgets and financial information.
- Ability to manage sensitive information with discretion and confidentiality.
- Proficiency with standard office and information-management systems; knowledge of medical terminology is an asset.
License Requirements
- Valid Class-5 driver's license (non-GDL) and a clean 3-year driver's abstract for the past 3 years.
