Seminars, Designations & Corporate Training in
Continuing Education is currently seeking a Full-time Limited Term
Associate Program Manager for approximately 12 months.
The Associate Program Manager, Corporate Training (CT) and International Professional Programs (IPP) reports to the Manager, Corporate Training, Continuing Education, and works closely with the Director of Corporate Training and International Professional Programs, Program Managers, Marketing & Communications, Operations, Learning Experience & Design, Student Services, instructors, and external stakeholders in a cross-functional and collaborative environment.
The Associate Program Manager supports a diverse portfolio of educational programs, partnerships, projects, and strategic initiatives that vary throughout the year in scope, complexity, and priorities. The role requires the ability to manage multiple activities simultaneously, coordinate work across functional teams, build productive stakeholder relationships, analyze information from multiple sources, and respond to evolving operational and business needs.
The individual works independently on assigned programs, projects, and initiatives while exercising sound judgment and operating within established policies, procedures, and strategic directions. The position requires strong organizational, analytical, communication, and relationship-management skills, as well as the ability to balance competing priorities and deadlines. The individual analyzes program, project, and stakeholder information, identifies risks, gaps, and opportunities, and provides recommendations that support operational effectiveness, portfolio improvements, and informed decision-making.
Summary of Key Responsibilities (job functions include but are not limited to):
Educational Program Administration
- Support and coordinate a portfolio of alternative credential programs and oversee the day-to-day administration activities of programs including diplomas, certificates, micro-credentials, workshops, partnerships, and other Continuing Education initiatives.
- Execute operational plans by preparing annual program plans, creating course schedules, coordinating instructor management activities, and implementing operational adjustments as required.
- Implement Continuing Education quality assurance processes across assigned programs; collect feedback, consolidate and analyze evaluation data, identify trends and opportunities for improvement, and support consistency of learner experience.
- Provide student experience support by monitoring the learner journey from registration through program completion, identifying barriers to learner success, recommending solutions, and supporting initiatives aimed at improving student satisfaction and engagement.
- Leverage data from Continuing Education dashboards and reporting tools to analyze enrolment trends, investigate issues, and advise management on program performance, risks, gaps, and opportunities.
- Perform ongoing program review to understand how courses align with learning outcomes, competency requirements, industry needs, and program objectives, and recommend opportunities for program enhancement, renewal, and continuous improvement.
- Support the development, renewal, enhancement, and implementation of courses and programs by working with instructors, subject matter experts, professional associations, Learning Experience & Design team, and other stakeholders; conduct research, gather input from shareholders, and provide recommendations to support program planning and decision-making.
- Support budget administration activities, including enrolment tracking, forecasting, expenditure monitoring, and financial reporting for assigned programs and initiatives; analyze performance data and identify potential risks, trends, and improvement opportunities.
- Work directly with instructors, students, internal University partners, vendors, community partners, and other stakeholders to support program delivery and administration activities, resolve issues, and recommend solutions to support operational effectiveness and learner success.
- Coordinate instructor recruitment, onboarding, scheduling, communication, documentation, and operational support activities to ensure successful program delivery.
- Support portfolio transition, portfolio maintenance, and portfolio renewal activities by reviewing program performance, identifying risks, gaps, and opportunities, and providing recommendations to support operational and portfolio decisions.
Strategic Initiative, Project and Partnership Coordination
- Coordinate and support a variety of strategic initiatives, project activities, partnership arrangements, and portfolio transition projects within the CT and IPP unit. This may include educational initiatives, operational improvement projects, new partnerships, reseller arrangements, vendor relationships, and program transition activities. Analyze project and partnership information and provide input to support project planning, implementation, and continuous improvement activities.
- Create and maintain project folders, document repositories, filing systems, templates, and project documentation for assigned projects and initiatives.
- Develop project plans, timelines, status reports, communication plans, and project tracking tools to support implementation activities.
- Coordinate project meetings, prepare agendas, document action items, and monitor progress against timelines and deliverables.
- Support portfolio transition and rationalization activities by coordinating work across stakeholders, monitoring timelines and outcomes, identifying implementation risks and challenges, and supporting implementation plans.
- Support the establishment, administration, and ongoing management of external vendor relationships, partnership agreements, reseller arrangements, and collaborative initiatives.
- Prepare project communications, status updates, briefing materials, and reports for stakeholders and leadership.
- Monitor project budgets, expenditures, invoices, contracts, and financial records in accordance with approved project plans and procedures.
- Ensure projects comply with institutional policies, procedures, operational standards, and reporting requirements.
- Support departmental initiatives related to learner engagement, instructor engagement, operational effectiveness, and continuous improvement.
Educational Program Development
- Support the CT and IPP team in researching, assessing, developing, renewing, and implementing educational programs, partnerships, and initiatives that respond to learner, workforce, industry, and community needs by gathering and evaluating information, identifying opportunities, and contributing recommendations to support decision-making.
- Research, gather, analyze, and present labour market information, educational trends, industry needs, and learner demand data to support portfolio and program decision-making.
- Support market assessments, environmental scans, competitor reviews, and needs assessments for new and existing programs and summarize findings and recommendations for stakeholders and leadership.
- Assist with the development of program proposals, feasibility assessments, business cases, and supporting documentation.
- Support grant-funded initiatives through research, proposal preparation, implementation activities, monitoring, evaluation, and reporting.
- Support curriculum review, program renewal, and program redevelopment initiatives led by Program Managers, leadership, instructors, and subject matter experts.
- Coordinate program development timelines, implementation activities, documentation, stakeholder communications, and operational readiness activities.
- Collect and analyze information related to program performance, participation, learner outcomes, timelines, budgets, and stakeholder feedback and provide recommendations to support decision-making.
Qualifications / Requirements:
Required:
- Completed undergraduate degree in Business, Education, Social Sciences, or a related field. A combination of education and relevant experience may also be considered.
- Knowledge of continuing education, adult learning, workforce development, and/or alternative programming environments.
- Experience supporting program administration, project coordination, stakeholder engagement, operational planning, or continuous improvement activities.
- Knowledge of educational program planning, delivery, evaluation, and continuous improvement processes.
- Demonstrated ability to coordinate multiple priorities, projects, and operational activities simultaneously while maintaining attention to detail.
- Strong organizational, analytical, problem-solving, and critical thinking skills, including the ability to evaluate information and make recommendations.
- Positive attitude and demonstrated ability to work collaboratively within a team environment.
- Good judgment, initiative, tact, and diplomacy in dealing with frequent interactions with staff, instructors, students, university departments, external partners, and community organizations, including the ability to balance competing interests and recommend appropriate courses of action.
- Excellent written and verbal communication skills with a strong customer service orientation.
- Demonstrated ability to build and maintain effective working relationships with diverse stakeholder groups.
- Strong working knowledge of Microsoft Office applications including Word, Excel, Outlook, PowerPoint, Teams, and OneNote.
- Understanding of technologies used to support educational delivery and program administration, such as Desire2Learn (D2L), Zoom, and related learning platforms
- Ability to collect, interpret, analyze, and present data to support decision-making, continuous improvement, operational planning, and evidence-informed recommendations.
Highly Desirable:
- Certificate or formal training in Project Management, Business Analysis, Change Management, or a related discipline.
- Knowledge of current trends in continuing education, professional development, workforce development, micro-credentials, and lifelong learning.
- Experience in a post-secondary, continuing education, training, or adult learning environment.
- Experience supporting program development, program renewal, curriculum review, educational projects, or portfolio review initiatives.
- Experience coordinating strategic initiatives, operational improvement projects, partnerships, or cross-functional initiatives.
- Experience working with external partners, vendors, professional associations, community organizations, or industry stakeholders.
- Experience supporting grant-funded initiatives, proposal development, research activities, or business case preparation.
- Working knowledge of data visualization, reporting, or business intelligence tools such as Tableau or Power BI.
- Experience developing presentations, reports, briefing materials, and stakeholder communications.
