The
Office of the Vice President Development & Alumni is currently seeking a Full-time Limited Term
Development Coordinator for approximately 2 years.

The Cumming School of Medicine Office of Development is seeking a highly organized and detail-oriented Development Coordinator to support fundraising initiatives that enable discovery, innovation, and impact.
Reporting to the Senior Director of Development, this role supports multiple fundraisers and the broader Cumming School of Medicine Development team. As the operational backbone of the team, the Development Coordinator helps ensure fundraising activities, donor engagement, gift documentation, and administrative processes run smoothly and efficiently.

The successful candidate will be comfortable managing multiple competing priorities, working independently, and balancing routine but essential administrative responsibilities with a variety of projects and activities.
This role is ideally suited to someone who enjoys creating order, keeping projects moving, and providing exceptional administrative support in a dynamic and collaborative environment. Summary of Key Responsibilities (job functions include but are not limited to):
Support fundraising and donor engagement:
- Coordinate donor meetings, including scheduling, logistics, briefing materials, and follow-up activities
- Support multiple fundraisers in executing donor cultivation, solicitation, and stewardship strategies
- Develop professional donor correspondence and fundraising support materials
- Help ensure donors and partners receive exceptional, timely service and support
Prepare gift documentation"
- Draft gift agreements and supporting documentation with a high degree of accuracy and attention to detail
- Coordinate internal review and approval processes for gift agreements and related fundraising documentation
- Ensure donor commitments and documentation are appropriately recorded, maintained, and tracked
- Maintain confidentiality and discretion when handling donor information and gift-related materials
Coordinate donor information and reporting:
- Maintain accurate donor and prospect records in the university's fundraising database
- Support reporting, tracking, and information management activities that inform fundraising strategy and decision-making
- Manage electronic filing and records to ensure information is organized, accessible, and up to date
- Handle sensitive and confidential information with professionalism and discretion
Support stewardship and team operations:
- Assist with donor recognition activities, stewardship initiatives, and special events
- Coordinate calendars, meetings, logistics, and follow-up activities for multiple fundraisers
- Prepare and reconcile expense reports and support administrative processes across the team
- Maintain stewardship tracking, electronic filing systems, office supplies, mail, and other departmental administrative functions
- Support special projects and contribute to the overall effectiveness of the Development Office
Qualifications / Requirements:
We're looking for someone who is exceptionally organized, proactive, detail-oriented, and enjoys supporting the behind-the-scenes work that makes fundraising successful.
Qualifications include:
- Post-secondary education or an equivalent combination of education and experience, along with a minimum of two years of experience in a coordinator, administrative, customer service, or operations-focused role
- Exceptional attention to detail and commitment to accuracy, particularly when preparing documentation and managing information
- Demonstrated ability to manage multiple priorities and shifting deadlines while maintaining a high standard of work
- Experience coordinating calendars, meetings, travel arrangements, and other complex administrative processes
- Strong written, verbal, and interpersonal communication skills
- Experience working with databases or CRM systems and Microsoft 365 applications
- Ability to work independently, exercise sound judgment, and complete routine but critical tasks with minimal supervision
- Strong organizational and time-management skills, with the ability to prioritize competing requests effectively
- Professionalism and discretion when handling confidential and sensitive information
- A positive attitude, learning mindset, and willingness to take initiative and continuously improve processes
- Considered an asset:
- Experience in fundraising, advancement, higher education, healthcare, or the not-for-profit sector
- Knowledge of donor stewardship, gift administration, or fundraising operations
- Experience supporting multiple professionals or a busy team environment
