The Academic Human Resources Office provides support and expertise to academic units on the interpretation and application of policies and procedures governing academic appointments. The development of faculty and academic leadership contributes to the Academic Human Resources Offices’ efforts to recruit and retain excellent faculty and academic administrators by promoting a positive and highly collegial working environment, supporting faculty as they transition through career stages, and by guiding faculty in navigating the complexities of a large, decentralized university.

The Academic Human Resources Office supports academic administrators and their staff on the full spectrum of Academic HR matters, including recruitment, appointments, tenure, continuing status, promotion, leaves, workload, PTR and retirement. This office also supports academic units in respect of academic unionized employee groups including Teaching Assistants and Course Instructors (CUPE 3902, Unit 1), Sessional Lecturers and Writing Instructors (CUPE 3902, Unit 3) and Postdoctoral Fellows (CUPE 3902, Unit 5). The Academic Human Resources Office's Faculty Development and Support team works closely with the Vice-Dean, Faculty & Academic Life to implement a range of programming that supports faculty engagement, professional development, and system navigation.

Your opportunity:

Reporting to the Coordinator, Faculty Development the incumbent is responsible for performing timely day-to-day administrative activities that assist in the smooth and efficient operation of the Faculty Development and Support team and the Academic Human Resources Office. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, independent judgment, and a need to maintain absolute confidentiality regarding sensitive issues. The Assistant, Faculty Development and Support will make all administrative arrangements, and provide support, for all faculty development programming and events, including mental health workshops and training; assist with the documentation, collection and coordination of data; assist with confidential HR filing systems and records; screen visitors; monitor and respond to email; order supplies and process invoices. The incumbent provides a broad range of timely project, programming, communication and administrative support to the Faculty Development and Support team and the Academic Human Resources team in general. They are required to use initiative and exercise sound judgment in facilitating referrals and/or directing mental health training participants to appropriate resources and supports.

General Responsibilities:

Programming and day-of event support for Faculty Development team, including booking venue, registration, liaising with participants, event set up, preparing materials, order catering, and IT support.
First point of contact for screening visitors and referring appropriately.
Responding to enquiries within the defined scope of the role and redirecting as appropriate.
Responsible for office administration including monitoring the general inbox, responding to incoming email and processing invoices.
Organizing and maintaining complex electronic files.
Maintaining the SharePoint site.
Entering data and pulling reports from HRIS.
Collating and organizing data for ad hoc requests.
Drafting internal and external communications.
Updating website.
Proofreading and fact-checking content.

Essential Qualifications:

Education: University degree and courses leading to completion of CHRP or an acceptable equivalent of education and experience.

Experience: Two years' relevant office administration experience. Experience coordinating and planning complex event logistics. Knowledge of mental health and related health promotion concepts and practices. Experience providing support to a team including dealing with frequent interruptions and multi-tasking work priorities. Experience organizing and maintaining files. Demonstrated experience dealing with a diverse client group.

Skills: Advanced computer skills including proficiency with Microsoft 365 products (Word, Excel, PowerPoint, SharePoint, Forms, Teams) ); PDF creation software (Adobe Acrobat Professional). Strong organizational and interpersonal skills; strong administrative skills; and excellent web administration skills.

Other: Familiarity with human resources protocols and practices; ability to communicate effective both orally and in writing; ability to take initiative and work independently; strong attention to detail and strong organizational skills; tact, care and discretion in dealing with difficult or sensitive situations; ability to set own work priorities based on an understanding of the priorities of the office. Works cooperatively with others as part of a team. Must be able to maintain confidentiality. Strong understanding and interest in faculty development and mental health.

Assets: Completion of Applied Suicide Intervention Skills Training (ASIST) training; familiarity with human resources protocols and practices; experience working with HRIS software. Project management experience. Experience with Microsoft Power Platform.
