ROLE: Office & Talent Specialist

REPORTS TO: Senior Director, HRBP & Talent

LOCATION: Corporate Office in Richmond Hill - 4 Days Onsite

SALARY: $65,000 - $75,000 CAD

THE OPPORTUNITY

The Office & Talent Specialist plays a key role in creating a positive, connected, and well-supported associate experience at Venterra's Toronto office. This role combines day-to-day office operations with support for enterprise Talent and Employee Experience programs. The ideal candidate is highly organized, service-oriented, comfortable managing multiple priorities, and energized by creating great experiences for associates. This individual will serve as a go-to resource for the Toronto office while partnering closely with the Talent team to coordinate programs, communications, events, and initiatives across Venterra.

Key Responsibilities

Office Operations & Associate Support

Serve as the primary point of contact for day-to-day Toronto office needs and associate questions.
Coordinate office operations, including seating, supplies, mail and deliveries, vendors, facilities requests, and general office organization.
Support onboarding and offboarding logistics for Toronto-based associates, including workspace preparation and coordination with internal partners.
Identify opportunities to improve the office experience and ensure the workplace is welcoming, organized, and associate-focused.
Partner with leaders and internal teams to coordinate onsite meetings, visits, and office activities.

Employee Experience & Recognition

Support planning and execution of employee experience programs, recognition initiatives, and company events.
Coordinate logistics for town halls, associate celebrations, leadership events, and other company-wide experiences.
Support administration of programs such as the Vacation Suite program and the Venterra Excellence Awards (VEAs).
Help maintain the Talent team's SharePoint resources and employee-facing content.
Develop and coordinate engaging communications and materials that help associates stay informed and connected.

Talent Team & Program Support

Provide coordination and administrative support across Talent initiatives, including HR Business Partnership, Learning & Development, Employee Experience, and Talent Management.
Maintain project plans, trackers, calendars, documentation, and other resources supporting Talent programs.
Assist with scheduling and logistics for training programs, leadership development, talent initiatives, and company events.
Support data collection, reporting, surveys, and program follow-up as needed.
Partner across the Talent team to ensure programs are organized, communicated effectively, and executed consistently.
Take ownership of assigned projects and identify opportunities to simplify and improve processes.

What You Bring

2-4 years of experience in office operations, HR/Talent coordination, employee experience, event coordination, or a related role.
Strong organizational and project coordination skills with excellent attention to detail.
Ability to manage multiple priorities and follow through with limited supervision.
Strong written and verbal communication skills.
A service-oriented mindset and genuine interest in creating a great associate experience.
Comfort working with associates and leaders at all levels of the organization.
Strong proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, Excel, and SharePoint.
Ability to handle confidential or sensitive information with appropriate discretion.
Experience supporting events, employee programs, HR initiatives, or internal communications is an asset.
