Original job description

ABOUT US

Vision Law Group is a small but growing Edmonton-based firm providing full-service legal representation to individuals, families, and businesses. Our practice spans all areas of law including but not limited to civil litigation, criminal law, family law, real estate, and immigration matters. We are a small, close-knit team that works collaboratively and treats each other with genuine respect. We welcome and celebrate candidates from all backgrounds and are committed to building a diverse team that reflects the communities we serve. This is a full time role.

THE ROLE

We are looking for a friendly, organized Receptionist and Administrative Assistant to be the face of our firm and the engine behind our day-to-day operations. You will be the first point of contact for clients, both in person and on the phone, and will support our lawyers and staff with a wide range of administrative tasks. This is a great opportunity for someone who enjoys working with people, takes pride in a well-run office, and wants to be part of a growing firm. We are looking to fill this role as soon as possible and welcome applications from candidates who are available to start immediately or in the near term.

KEY RESPONSIBILITIES

Greet clients and visitors warmly as they arrive at the office
Answer, screen, and direct incoming phone calls professionally
Manage the general firm inbox and respond to or route inquiries promptly
Schedule client meetings, appointments, and conference room bookings
Maintain a tidy, welcoming reception area and meeting rooms
Open and distribute mail, courier packages, and deliveries
Assist with opening client files and basic data entry
Order and manage office supplies and coordinate with vendors
Provide general administrative support to lawyers and staff as needed
Help with light bookkeeping tasks such as logging payments or receipts (training provided)

WHO THRIVES HERE

This role is a great fit if you are warm, approachable, and genuinely enjoy helping people. You are organized, detail-oriented, and proactive. You anticipate what needs to happen next and you make it happen without being asked. You are a quick learner who picks up new systems and processes easily. You communicate clearly and professionally with clients and you understand that in a small firm, every person on the team matters. You are comfortable juggling multiple things at once, adaptable when priorities shift, and you bring a positive attitude to the work even when it gets busy.

If that sounds like you, we would love to hear from you.

QUALIFICATIONS

Minimum 1 year of experience in a reception, administrative, or customer-facing role
Experience in a legal, professional services, or office environment is a strong asset but not required
Exceptional organizational skills, strong attention to detail, and the ability to manage multiple tasks at once
Warm, professional phone and in-person manner
Proactive approach to work. You anticipate what is needed and act on it without being asked
Proficiency with Microsoft Office, particularly Word and Outlook, and/or Google Drive and Google Workspace
Experience with Clio or other legal practice management software is a plus
Professional written and verbal communication skills
Fluency in a language other than English is an asset

WHAT WE OFFER

Competitive compensation commensurate with experience
Mentorship, training, and support in a collaborative environment. We are invested in your growth and development
Significant potential for growth within the firm as we continue to expand
Flexible working arrangements and scheduling. We are a small firm and we are not rigid about how, when, or which days you work, as long as the work gets done and clients are served
We genuinely value work-life balance and trust our team to manage their time like the professionals they are
Free parking at our office
A collaborative, respectful, and diverse team environment

WORK LOCATION

This role is based at our Edmonton office and requires full-time in-person attendance. Reception and front-desk coverage requires someone physically present at the office during business hours.

HOW TO APPLY

Note: This role is based in Edmonton and requires in-person attendance at our Edmonton office. If your LinkedIn profile does not show that you are currently based in Edmonton or actively planning to relocate here, your application will not be considered. We have a limit on the number of applications we can review on LinkedIn, so we kindly ask that you only apply if you meet the location requirement.

This helps us give proper attention to every qualified applicant and respects everyone's time.

You can apply through LinkedIn directly, or send your resume and cover letter by email to ajaygill@visionlawgroup.cawith the subject line "Receptionist / Administrative Assistant Application." If the LinkedIn posting shows as closed, please apply by email instead.

In your cover letter, please address the following:

Your experience in a reception, administrative, or customer-facing role
Any experience you have in a legal or professional services environment
How you stay organized and manage competing tasks when things get busy
Your experience with Microsoft Office, Google Workspace, or any legal practice management software
Your salary range expectations
Your earliest available start date and any notice period obligations. We are looking to fill this role as soon as possible.
If you speak any languages other than English, please indicate which ones and your level of proficiency

If you have any questions or would like to learn more about the role before applying, feel free to reach out to Ajay Gill directly on LinkedIn.

Applications will be reviewed on a rolling basis so we encourage you to apply early. We genuinely appreciate the time and effort every applicant puts into their application. As much as we would love to connect with everyone, we will only be following up with candidates we are moving forward with in the process. We wish all applicants the very best in their search.
