Vision Law Group is a small but growing Edmonton-based firm providing full-service legal representation to individuals, families, and businesses. Our practice spans all areas of law including but not limited to civil litigation, criminal law, family law, real estate, and immigration matters. THE ROLE
We are looking for a friendly, organized Receptionist and Administrative Assistant to be the face of our firm and the engine behind our day-to-day operations. You will be the first point of contact for clients, both in person and on the phone, and will support our lawyers and staff with a wide range of administrative tasks. This is a great opportunity for someone who enjoys working with people, takes pride in a well-run office, and wants to be part of a growing firm. KEY RESPONSIBILITIES
- Greet clients and visitors warmly as they arrive at the office
- Answer, screen, and direct incoming phone calls professionally
- Manage the general firm inbox and respond to or route inquiries promptly
- Schedule client meetings, appointments, and conference room bookings
- Maintain a tidy, welcoming reception area and meeting rooms
- Open and distribute mail, courier packages, and deliveries
- Assist with opening client files and basic data entry
- Order and manage office supplies and coordinate with vendors
- Provide general administrative support to lawyers and staff as needed
- Help with light bookkeeping tasks such as logging payments or receipts (training provided)

QUALIFICATIONS
- Minimum 1 year of experience in a reception, administrative, or customer-facing role
- Experience in a legal, professional services, or office environment is a strong asset but not required
- Exceptional organizational skills, strong attention to detail, and the ability to manage multiple tasks at once
- Warm, professional phone and in-person manner
- Proactive approach to work. You anticipate what is needed and act on it without being asked
- Proficiency with Microsoft Office, particularly Word and Outlook, and/or Google Drive and Google Workspace
- Experience with Clio or other legal practice management software is a plus
- Professional written and verbal communication skills
- Fluency in a language other than English is an asset

WORK LOCATION
This role is based at our Edmonton office and requires full-time in-person attendance. Reception and front-desk coverage requires someone physically present at the office during business hours.
