Original job description
About you:
You are a hands-on logistics professional who thrives in a fast-paced environment where priorities change quickly and every shipment matters. You bring strong experience in domestic and international shipping, customs documentation, and coordinating complex shipments with accuracy and urgency.
In this role, you will take ownership of Vital Bio's day-to-day shipping and logistics operations, from preparing documentation and selecting carriers to resolving customs issues and ensuring shipments arrive on time. You'll coordinate everything from routine deliveries to urgent shipments involving medical devices, chemicals, dangerous goods, and temperature-sensitive materials.
We're looking for someone who knows how to get shipments moving independently, even without a fully established shipping system. You'll have the opportunity to improve how we operate, build processes, and take real ownership of logistics within a close-knit team.
At Vital Bio, we're working to make diagnostics more accessible. That requires people who move quickly, solve problems, and take pride in getting the details right.
What you'll do:
Own domestic and international shipments from request through delivery, including parcel, courier, air freight, LTL, FTL, and expedited services.
Independently prepare shipping labels, commercial invoices, customs paperwork, and import/export documentation with a high degree of accuracy.
Coordinate shipments involving chemicals, dangerous goods, medical devices, sensitive electronics, prototypes, and high-value equipment.
Manage temperature-sensitive shipments, including refrigerated, frozen, and dry-ice shipments, using appropriate packaging and handling requirements.
Work directly with carriers, freight forwarders, customs brokers, vendors, and 3PL partners to coordinate shipments and resolve delays or clearance issues.
Respond quickly to urgent and changing shipping priorities, including same-day requests, without compromising accuracy or compliance.
Support receiving, inventory control, material movement, and accurate inventory records and transactions.
Identify and implement improvements to shipping processes, documentation, carrier relationships, and overall logistics efficiency.
Collaborate with Warehouse, Manufacturing, Procurement, Quality, R&D, and other teams to keep materials and shipments moving.
What you need:
Approximately 5 years of hands-on logistics, shipping, or transportation experience, with the ability to independently manage shipments from start to finish.
Strong experience with domestic and international shipping and customs clearance, including independently preparing commercial invoices, shipping documentation, HS classifications, country of origin, declared values, and Incoterms and brokerage processes.
Hands-on experience shipping chemicals or dangerous goods, including applicable classification, documentation, and handling requirements.
Experience coordinating multiple carriers, freight forwarders, and customs brokers across different shipment types.
Strong attention to detail, organizational skills, and the ability to manage competing priorities and urgent shipping requests.
Confidence working directly with carrier portals and creating shipments without relying on a dedicated shipping platform.
A proactive, solutions-focused approach with the ability to make decisions, troubleshoot issues, and improve processes independently.
Strong communication skills and the ability to build effective relationships with internal teams and external logistics partners.
Comfort working in a hands-on warehouse environment and supporting receiving, inventory, and material movement activities.
Ability to lift up to 23 kg (50 lbs) as required to support shipping, receiving, and warehouse operations.
Bonus points for:
Experience in biotechnology, medical devices, pharmaceuticals, healthcare, or other regulated industries.
Experience shipping biological materials, blood-related products, or other specialized medical materials.
Current TDG or IATA Dangerous Goods training.
Experience with cold-chain shipping, including dry ice and temperature-controlled packaging.
Familiarity with ERP, MRP, WMS, or inventory management systems.
Experience improving or building logistics processes in a growing organization.
Forklift certification or practical warehouse equipment experience.
College diploma or university degree in Supply Chain, Logistics, Business, Operations, International Trade, or a related field.
The salary range for this position is $65,000-75,000 annually. Compensation will be determined based on the individual's demonstrated experience.
This role is a current, onsite vacancy.
