Summary

The Senior Property Manager is responsible for the professional management and administration of an assigned portfolio of condominium corporations and a staff of Property Managers and site field staff. He or she is responsible for meeting all contractual obligations and deliverables as well as achieving the client's goals and objectives through effective financial and operational management.

Job Duties

As a member of the property management team, the key responsibilities of a Senior Property Manager include but are not limited to:

Establish and maintain a positive relationship with homeowners, Board of Directors and internal departments to ensure a high level of service and achievement of company and property goals and objectives; responding in a timely manner.
Supervise, coordinate, and provide leadership and mentorship to and review the work of a team of Property Managers and assigned staff.
Maintains privacy and organizational reputation by keeping information confidential.
Administer the activities of assigned properties in accordance with contractual requirements, including determining, establishing and implementing effective operating procedures.
Evaluate and recommend changes in methods and procedures in assigned area of responsibility.
Cost management of operating budget including determining, dispensing, monitoring and management of the monthly spend, portfolio budget forecasting.
Purchase Order processing and contractor management including the issuing, coding and approving of purchase orders and managing, directing contractors ensuring insurance and certificates for vendors are maintained and current.
Property maintenance and administrative management including determining the scope of work and monitor progress or status of assigned work.
Facilitate all construction projects and ensure property maintenance/improvement and other related projects are completed on time and within budget; maintain open communication and provide timely action updates to the Board and residents.
Client Management and reporting including working closely with the client, providing required reports (monthly management reports) and responses in a timely manner.
Management reporting including daily, weekly and monthly reporting to the company, attendance at conference calls, meeting.
Maintains a calendar of annual activities and maintenance requirements and a preventative maintenance plan; ensures annual calendar is updated regularly, and reviewed with the Board.
Attendance at various meetings during and after regular business hours including property manager meetings, special Board/Owner meetings, Annual General Meetings and regular Board Meetings.
Work order processing and administration meeting prescribed compliance timelines.
Manages and ensures compliance with Fire Code and all fire/life safety systems including annual fire safety testing, fire safety plan management, etc.
Enforce the Declaration, By-Laws, Rules and policies of the Condominium.
Understand the requirements of the reserve fund studies and monitor reserve funds to ensure they are being used in accordance with Board and regulatory requirements; coordinates investment of reserve funds with the Board per the investment plan.
Ensure the insurance and appraisal requirements are kept current; manages insurance claims, inspect and follow-up repairs resulting from insurable losses.
Maintain an effective system of common element fee collection, attend legal and collection agency proceedings as required and preparation of required legal documents.
Supports activities of the Board sub-committees.
Conduct necessary arrangements with public utility and other municipal bodies.
Regularly review and make appropriate recommendations for the improvement, sustainability and modernization of the properties.
Ensure effective and sustainable maintenance and repair of programs.

Maintain on-site visibility throughout the common areas and facilities when at the property and performs detailed inspections, (building, common elements and ground inspections, etc.) and provide written follow-up and completion reports, scheduling and/or assigning deficiencies to administrator or contractor for completion.

Oversee of all annual budgets including preparation of budget packages, preparation and completion of the budgets no later than the contractual deadline.
Handles transition management of new condominiums assigned or outgoing condominium from portfolio to ensure a successful transition within the prescribed contractual or regulatory guidelines.
Property management office administration including managing, giving direction and delegating to the Assistant Property Manager.
Respond to after business hours and weekend emergency calls.
Other duties as assigned.
