Position Summary...The Senior Analyst, Event Operations supports the planning and successful execution of large-scale, high-profile Walmart Canada events and business initiatives. Reporting to the Sr. Manager, Event Operations, this role provides operational, financial, sourcing and project support across the event lifecycle, partnering closely with Event Leads, cross-functional teams and external vendors.
The role supports event budgeting and forecasting, vendor sourcing and coordination, contract administration, asset management, event logistics, project tracking, stakeholder engagement, data analysis and post-event reconciliation. It also assists with the development of event plans, timelines, executive-ready PowerPoint presentations, reporting and other materials required to keep teams aligned and events on track.
Working across multiple events and priorities simultaneously, the Senior Analyst helps coordinate complex requirements, identify risks and opportunities, maintain accurate financial and operational information, and ensure key deliverables are completed on time. The role supports events ranging from leadership meetings and business conferences to large-scale associate, supplier and corporate events involving hundreds to thousands of attendees.
Through strong organization, financial stewardship, vendor management and cross-functional collaboration, the role helps identify process improvements, leverage technology and drive cost efficiencies aligned with Every Day Low Cost (EDLC) principles. What You'll Do...
The Senior Analyst, Event Solutions Sourcing & Budgeting provides operational, financial, sourcing and project support for the planning and delivery of large-scale Walmart Canada events and business initiatives. Reporting to the Sr. Manager, Event Operations, this role works closely with Event Leads, cross-functional partners, internal stakeholders and external vendors to help ensure events are delivered efficiently, on budget and in alignment with business objectives and established standards.
Event Planning & Operational Support
Supports the planning, coordination and execution of large-scale corporate events, leadership meetings, associate experiences, supplier events and other business initiatives. Works alongside Event Leads to coordinate operational requirements, logistics, timelines, deliverables and resources across multiple events and workstreams.
Maintains detailed project plans and timelines, tracks key milestones and deliverables, identifies potential risks or gaps, and supports issue resolution to help keep event activities on schedule. Provides onsite operational support as required, working collaboratively with internal teams, venues, production partners and other suppliers to support successful event execution.
Budgeting & Financial Management
Supports the development, management and reconciliation of event budgets, including forecasting, purchase orders, invoice tracking, accruals, cost reporting and post-event financial reconciliation.
Maintains accurate financial records and provides regular budget updates to the Senior Manager Event Operations. Identifies budget risks, cost, savings opportunities and efficiencies while supporting Walmart’s Every Day Low Cost (EDLC) principles.
Analyzes event spending and historical financial information to support forecasting, planning and informed business decisions.
Vendor Sourcing & Coordination
Supports vendor sourcing activities across event-related categories, working with internal sourcing and procurement partners to obtain competitive proposals, evaluate options and support vendor selection.
Coordinates vendor onboarding, documentation, purchase orders, contracts and other administrative requirements in accordance with Walmart policies and established processes.
Maintains productive relationships with external vendors and partners and supports the tracking of vendor deliverables, timelines, costs and performance throughout the event lifecycle.
Asset Management
Supports the management of physical and digital event assets, including inventory tracking, storage, movement, utilization and maintenance of event materials.
Maintains accurate asset records and helps ensure event assets are appropriately deployed, returned, stored and maintained in accordance with established standards and processes.
Identifies opportunities to reuse and optimize existing assets across events to reduce unnecessary spending, improve utilization and support operational efficiencies.
Data, Reporting & Analytics
Gathers, analyzes and interprets event, operational, vendor and financial data to support business decisions, event planning and continuous improvement.
Develops and maintains reporting tools, trackers, dashboards and event documentation to provide visibility into budgets, timelines, assets, vendor activities and key deliverables.
Uses data and post-event results to identify trends, opportunities, risks and recommendations that can improve future event planning and operational effectiveness.
Technology & Process Improvement
Leverages available technologies, reporting tools and digital solutions to improve event operations, financial tracking, sourcing processes, asset management and project coordination.
Identifies opportunities to simplify processes, improve data quality, reduce manual activities and introduce automation where appropriate.
Supports the development and documentation of standardized event processes, tools, templates and best practices to drive greater consistency and efficiency across the Events function.
Presentations & Business Communications
Develops clear, professional and executive-ready PowerPoint presentations, event decks, project updates, timelines, financial summaries, meeting materials and post-event recaps.
Translates complex event, financial and operational information into clear and concise materials for Event Leads, senior leadership and cross-functional stakeholders.
Supports meeting preparation, documentation and follow-up, ensuring key decisions, actions and deliverables are clearly captured and communicated.
Stakeholder & Cross-Functional Collaboration
Builds and maintains strong working relationships with Event Leads, internal stakeholders, cross-functional teams, vendors and external partners through effective communication, organization and collaboration.
Coordinates information and deliverables across multiple stakeholders to support alignment and ensure event requirements are understood and completed within established timelines.
Works effectively in a fast-paced environment, balancing multiple events, projects and competing priorities while maintaining a high level of accuracy and attention to detail.
Compliance & Operational Excellence
Supports compliance with Walmart policies, financial controls, sourcing and procurement requirements, contractual processes, safety standards and ethical business practices.
Maintains accurate documentation and records to support appropriate governance, financial stewardship and operational accountability.
Contributes to continuous improvement initiatives that strengthen event operations, improve efficiency and support the consistent delivery of high-quality event experiences.
Overall Role Contribution
The Senior Analyst serves as a key operational and analytical partner to the Event Operations team. While the role does not independently own events, it provides the financial, sourcing, operational, project and administrative support required to successfully deliver complex events at scale.
Through strong financial stewardship, organization, analytical thinking, vendor coordination and cross-functional collaboration, the role helps enable high-quality event experiences that support Walmart Canada’s business priorities, associates and brand.
Qualifications
- Bachelor’s degree in Business, Event Management, Hospitality, Finance, or a related field; equivalent combination of education and relevant experience considered.
- 3–5 years of relevant experience in event operations, event budgeting, sourcing/procurement, hospitality, finance or project coordination, ideally supporting large-scale corporate events.
- Strong experience with budget management, forecasting, financial tracking, invoice reconciliation and reporting, with a high level of accuracy and attention to detail.
- Experience supporting vendor sourcing, procurement, contract administration and supplier management, including coordination with internal partners and external vendors.
- Strong project coordination and organizational skills, with the ability to manage multiple workstreams, deadlines and priorities in a fast-paced environment.
- Experience supporting event operations and logistics across complex events involving multiple stakeholders, suppliers and significant attendee volumes.
- Strong Excel and analytical skills, with experience using technology and tools to improve processes, reporting and operational efficiency.
- Demonstrated ability to identify cost efficiencies and process improvements while maintaining event quality and supporting EDLC principles.
- Strong communication, collaboration and stakeholder-management skills, with the ability to work effectively across cross-functional teams and with external partners.
- Proven problem-solving skills and sound judgment, with the ability to anticipate issues, identify solutions and support successful event execution.
- Experience working within a large, complex corporate environment and supporting high-profile leadership, associate or supplier events is preferred.
- No supervisory experience required, but the individual should be comfortable coordinating work across multiple internal teams and external partners.
Preferred qualifications: Experience supporting major corporate conferences, leadership meetings, associate events or supplier summits; experience with sourcing/procurement platforms and event-management technology; and demonstrated experience supporting events ranging from
hundreds to thousands of attendees
