Original job description

We are seeking an organized, proactive, and detail-oriented Operations Support Specialist to serve as a vital link between administrative leadership, supply chain, and daily facility operations.

In this dual-impact position, you will directly assist the Director of Operations with high-level administrative functions while managing day-to-day logistics, inventory, purchasing, and order fulfillment. If you thrive in a fast-paced environment where no two days are the same - from coordinating urgent shipments to managing executive priorities - we want to hear from you.

Key Responsibilities

Source reliable vendors, request quotes, negotiate pricing, and coordinate the purchase of parts, materials, and equipment.
Process customer orders, coordinate inbound and outbound shipments, and proactively track deliveries and follow up with suppliers.
Expedite critical parts orders and respond quickly to urgent supply requests from field technicians and supervisors.
Work closely with the prep team to schedule and arrange product manufacturing, ensuring all accompanying documentation is accurate and distributed.
Coordinate and properly log incoming/outgoing tanks and manage workflow documentation for the fire extinguisher recharge room.
Partner daily with warehouse and operations teams to maintain smooth material flow and alignment.
Provide comprehensive daily administrative support to the Director of Operations, assisting with workflow coordination and priority management.
Manage executive calendars, schedule meetings, and act as a central communication hub across internal departments.
Prepare operational reports, spreadsheets, presentations, and process documentation.
Maintain organized, confidential company files and records.
Assist with ad-hoc projects and operational initiatives as business needs evolve.
Other tasks as required.

Qualifications & Skills

2–4+ years of experience in an operations support, supply chain coordination, procurement, or executive administrative role (preferably within manufacturing, safety services, industrial supply, or field services).
Experience with inventory management software, ERP systems, or procurement tools; advanced proficiency in Microsoft Office (Excel, Word, Outlook)
Exceptional multitasking, prioritization, and time-management skills with strong attention to detail.
Clear, professional written and verbal communication skills across all levels - from executive management to warehouse personnel and external vendors.
Resourceful and adaptable with the ability to handle urgent requests and shifting priorities smoothly.

Who We Are

For over 30 years, Ward's Hydraulic Services Ltd. (Ward’s) has been an authorized distributor and service provider for leading brands including Envirotech, Graco, Enerpac, and Thompson. We support customers across Western Canada in the oil sands, mining, construction, forestry, heavy equipment, industrial, and fire suppression sectors through equipment sales, service, inspection, and repair solutions.

Our work supports critical industries that drive Canada's economy. The services we provide help keep equipment operating safely, reliably, and efficiently, often in demanding environments where performance and uptime are essential. Whether maintaining fire suppression systems, servicing industrial equipment, or supporting heavy-duty operations, every role within our Company contributes directly to this mission.

Join us as we strive for excellence in our shop operations while providing an engaging atmosphere for both our employees and customers!
