Your role:
The Sync & Licensing Coordinator plays a key role in supporting the day-to-day operations of the Sync & Visual Media Licensing department. This is a highly organized, detail-driven role with a significant focus on licensing administration, invoicing, financial tracking, and deal management, alongside opportunities to participate in the creative side of sync through music research, pitching, playlist development, and asset management.
You will help ensure sync opportunities move efficiently from initial request through approval, licensing, invoicing, and payment while maintaining accurate records across departmental systems. You will work closely with the Director, Sync & Visual Media Licensing and collaborate with internal teams across Warner Music Canada and Warner Music Group’s global organization.
The ideal candidate is exceptionally organized, proactive, and comfortable working with numbers, systems, and detailed information while also bringing a genuine passion for music, culture, film, television, advertising, and other visual media.

Here you’ll get to:
Deal Workflow & Financial Administration
- Financial Oversight & Expense Tracking: Partner with Finance and Royalty departments to initiate invoicing, track payment pipelines, onboard new vendors, and manage end-to-end PO creation. Reconcile monthly marketing expenses and chargebacks to resolve billing discrepancies.
- Deal Pipeline & Contract Management: Maintain a real-time database of active licensing workflows while organizing executed long-form agreements in a search-ready filing system for audits and business reviews.
- Budgeting, Reporting & Analytics: Generate real-time marketing spend trackers, revenue projections, and department KPI reports to drive strategic planning and keep campaigns on budget.
Client, Artist Relations & Strategic Licensing
- Account Management & Client Relations: Serve as contact for key clients, music supervisors, ad agencies, and gaming studios - managing pitches, requests, clearances, metadata, and asset delivery while cultivating strategic relationships to drive new sync opportunities.
- Clearance Operations & System Integrity: Efficiently process high-volume sync requests across label groups within internal clearance systems, maintaining rigorous speed and data accuracy.
- Market Intelligence & Research: Proactively track industry trends, trade publications, and upcoming media projects to identify and capture emerging placement opportunities.
Creative Pitching & Asset Management
- Creative Pitching & Asset Operations: Develop curated playlists, sync samplers, and pitch narratives tailored to market trends, while managing audio tagging, metadata organization, and asset fulfillment for international affiliates and internal teams.
- Label Strategy & Stakeholder Alignment: Act as contact for internal and third-party distributed labels, partnering directly with marketing teams and artist managers to drive sync opportunities for priority releases.
- Operational & Revenue Generation: Drive sync placement opportunities by aligning Warner Music Canada’s priority releases and campaigns with client needs, while managing cross-functional audio and asset requests across internal and international teams.
Operations & Cross Functional Support
- Live & Logistics Management: Oversee hold, purchase, and distribution requests for show tickets across rosters, while maintaining real-time master artist tour schedules to ensure accurate routing data for internal.
- Travel & Hospitality Coordination: Book and manage complete travel itineraries for artists, contest winners, and promotional talent as needed.
- Financial Processing & Tracking: Oversee PO creation, new vendor setup, invoice processing, and AMEX expense reconciliation.
- Budget & Spend Reporting: Maintain accurate documentation for POs, chargebacks, and monthly marketing spend trackers.
About you:
- 1-2+ years of experience in sync licensing, music supervision, publishing, or related fields.
- Strong understanding of the music/media industry, particularly in sync licensing, royalties, and copyright.
- Exceptional organizational skills with high attention to detail.
- Proficiency in metadata systems, asset management, and audio delivery platforms.
- Strong interpersonal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience processing invoices, purchase orders, expenses, receivables, or financial reporting.
- Strong Microsoft Office Skills, especially in excel.
- Passion for music and eager to grow in the areas of music rights and licensing.
It would be music to our ears if you also have:
- Previous experience at a record label, music publisher, music supervision company, advertising agency, production company, or other entertainment organization.
- Familiarity with music pitching, metadata, and asset-management platforms such as DISCO
- Experience working with contracts, licensing documents, or rights-management databases.
- Knowledge of the Canadian music, film, television, advertising and/or gaming industries.
- Creative thinker with a passion for music discovery and storytelling.
