We are a well-established, family-owned tabletop import and distribution business serving retailers, corporate accounts, and e-commerce customers across Canada. The company represents a strong portfolio of recognized tabletop, kitchen, dining, and entertaining brands, with a particularly strong presence throughout Quebec. As a small and entrepreneurial organization, the company offers an environment where individuals have significant responsibility, direct access to management, and the opportunity to make a meaningful impact. The company is looking for a long-term addition to the team who can grow with the business and eventually take on greater responsibility.

We are seeking a mature, highly organized, fully bilingual Office Manager to oversee the day-to-day coordination of the company's Outremont office. This individual will manage and coordinate a small team of approximately 3–4 employees across customer service and purchasing, while overseeing the flow of orders, communication with sales representatives and buyers, customer service, and general office operations.

The ideal candidate will have experience in a distribution, wholesale, importing, consumer products, or similar environment and understand the pace and coordination required to keep a distribution business running smoothly. This is a highly visible position for someone who is confident taking ownership, has excellent judgment and customer service skills, and is looking for a long-term opportunity with genuine potential for growth.

Key Responsibilities

Oversee day-to-day office operations and coordinate a team of 3–4 employees across customer service and purchasing.
Oversee order flow and ensure sales representatives and customer service teams are following up appropriately.
Coordinate communication between customers, sales representatives, buyers, and internal teams.
Manage buyer communication and product offerings for corporate and e-commerce accounts.
Maintain and update the company's Shopify website, including product information and content.
Ensure a consistently high level of customer service and professionally handle escalated issues.
Use Excel to track, organize, and manage operational information and reporting.
Identify opportunities to improve office processes, efficiency, and communication.
Support management with various operational and administrative priorities as the business continues to grow.

Qualifications

Fully bilingual in French and English, with excellent written and verbal communication skills.
Previous experience in wholesale distribution, importing, consumer products, retail distribution, or a related industry strongly preferred.
Experience managing or coordinating a small team.
Strong Microsoft Excel skills and comfort working with spreadsheets and operational data.
Strong customer service and relationship-management skills.
Excellent organizational skills with the ability to manage multiple priorities and keep teams accountable.
Professional, tactful, mature, and confident when dealing with customers, employees, buyers, and sales representatives.
Strong problem-solving skills and the ability to take ownership without requiring constant direction.
Positive, personable attitude and ability to work effectively in a close-knit, family-owned business.
Shopify experience is an asset.
Photoshop and/or InDesign experience is a bonus.

The Ideal Candidate

The ideal candidate is someone who has already worked in a distribution environment and understands how sales, customer service, purchasing, orders, and customers need to work together. You should be comfortable coordinating people, following up on outstanding issues, communicating with buyers, and stepping in to solve problems when necessary.

This role requires someone who is more than simply an administrator. The company is looking for a high-caliber, dependable individual who can take ownership of the office, earn the trust of management, and grow into greater responsibility over time. Maturity, personality, professionalism, and long-term commitment will be just as important as technical skills and experience.
