About the Job
The Proposal Coordinator manages the development, organization and delivery of RFQ (prequalification) and RFP submissions. The role keeps the bid on schedule and compliant, coordinates contributors across Webuild and consortium partners, and makes sure the final submission is clear, polished and fully responsive to the owner's requirements.
What You Will Be Doing?
- Review RFQ/RFP documents and build compliance matrices, submission requirement checklists and response outlines
- Develop and manage the proposal schedule, internal deadlines and review cycles (e.g. pink, red and gold team reviews)
- Coordinate input from technical, commercial, legal, HR and partner contributors
- Collect and tailor corporate qualifications: project references, key personnel resumes, financial information, safety statistics and certifications
- Draft, edit and standardize proposal content to ensure a consistent voice and quality
- Coordinate graphics, formatting and desktop publishing with designers
- Manage the proposal document library, version control and secure data room access
- Track addenda, owner clarifications and questions submitted to the owner
- Manage final production and submission, whether electronic or hard copy, making sure all forms, signatures and deadlines are met
- Maintain a library of reusable content for future bids
What We Are Looking For?
- Degree or diploma in Communications, Business, Engineering or related field
- 3+ years of proposal coordination experience, ideally in construction, engineering or infrastructure
- Understanding of public-sector procurement processes (RFQ/RFP), especially Infrastructure Ontario and Metrolinx
- Excellent writing, editing and organizational skills, with strong attention to detail
- Advanced skills in Microsoft Word, Excel, PowerPoint and Adobe InDesign/Acrobat
- APMP certification is an asset
Compensation:
Successful candidates chosen for this position can expect to earn between $80,000-$100,000. The exact salary you will earn within this range is dependent on the specific project to which you are assigned.
