POSITION: ADMISSIONS ADVISOR – KELOWNA CAMPUS

ABOUT THE ROLE

Western Community College is seeking an Admissions Advisor for our Kelowna campus. The Admissions Advisor will be the primary Admissions contact at the campus and will report to the Director of Admissions, who will provide functional supervision and guidance. The Admissions Advisor will also work with the Campus Manager and other WCC departments to support local campus activities, student needs, recruitment initiatives, and day-to-day coordination.

The successful candidate will be comfortable managing admissions activities independently while maintaining effective communication and collaboration with the broader WCC team.

RESPONSIBILITIES

Guides prospective students throughout the admissions process:

Handling inquiry calls, emails, walk-ins, and scheduling appointments.
Conducting admission interviews and following up with prospective students. Assisting potential students in determining program suitability and eligibility for our programs.
Guiding and advising prospective students through the enrollment process, including admission requirements, application processes, document verification, WCC curriculum, post-secondary education, and career opportunities.
Accompanying potential students on campus tours or virtual tours, introducing them to the campus and classrooms.
Maintaining current knowledge of all WCC programs, admission requirements, curriculum, and related information to provide accurate and up-to-date information to prospective students.
Utilizing and reviewing materials regularly, including program curriculum, information packages, printed materials, Ministry guidelines, admission reports, and PTIRU information to ensure that all information provided is accurate.
Cooperating with the Finance/Financial Services department in tracking and assisting with each new enrolment.
Collaborating with the Academic and Student Services departments to support student retention.
Maintaining contact and rapport with students to monitor their progress during their program and maintaining an open-door approach.
Ensuring CRM notes are clear, maintained, and every inquiry has a next step.
Managing outbound lead calls and follow-up activities, including outside regular hours and on weekends when required to accommodate prospective students.
Ensuring that student admissions are approved only when the student meets program admission requirements and document verification requirements.

Achieves agreed-upon enrolment targets and outcomes:

Promoting the programs and services of the College.
Carrying out daily activities to schedule face-to-face, phone, and virtual appointments.
Coordinating enrolment efforts with lead flow and established targets and maintaining monthly targets.
Prospecting and developing relationships with agents, community organizations, partners, and other third-party referral sources.
Analyzing lead quality and status reports and following up on cancellations and start-date changes.
Ensuring admissions reports in the CRM are up to date and accurate.

Performs Administrative Duties and other duties as assigned:

Reviewing, analyzing, and verifying transcripts and other official documents to determine admission status.
Administering the student registration process and ensuring that student files have complete documentation that complies with PTIRU regulations.
Ensuring student profiles are created and updated in the College Student Information System.
Ensuring compliance with the Private Training Institutions Regulatory Unit (PTIRU).
Following established admissions and records processes.
Using the assigned systems to maintain accurate notes of all communications and conversations.
Tracking and reporting on weekly activities, including leads, appointments, interviews, enrolments, and cancellations.
Informing the Director of Admissions of concerns and situations that may result in program failure or attrition.
Participating in graduation functions, marketing events, job fairs, and other activities that directly or indirectly promote admissions.
Conducting and participating in school/career day presentations, information sessions, trade shows, and other recruitment activities as required.
Working closely with the Campus Manager to support local recruitment, community engagement, campus activities, and prospective student needs.
Coordinating with Finance, Academic, Student Services, and other departments to support a smooth admissions and enrolment process.

Additional Responsibilities

Serve as a primary point of contact for admissions matters at the Kelowna campus.
Support the Director of Admissions with admissions-related initiatives, process improvements, and campus-level activities.
Assist with complex or escalated inquiries and student situations as required.
Contribute to maintaining consistent admissions practices, documentation, and service standards.
Provide guidance and support to other admissions staff when required.

REQUIRED SKILLS/COMPETENCIES

To be successful in the role, candidates need to demonstrate the following competencies/skills:

Knowledge of MS Office (Word and Excel) and CRM programs.
Prior admissions experience with proven results.
Excellent communication and interpersonal skills.
Excellent customer service skills.
Ability to quickly establish rapport and build relationships, both over the phone and in person.
Highly motivated and target-driven with a proven track record in sales.
Excellent problem-solving and negotiation skills.
Strong prioritization, time management, and organizational skills.
Superior work ethic with the ability to initiate tasks and remain on task with limited day-to-day supervision.
Ability to work independently while maintaining effective communication with the Director of Admissions and other WCC departments.
Teamwork and ability to collaborate effectively with the Campus Manager and other campus staff.

REQUIRED EDUCATION AND EXPERIENCE

Post-secondary education is required.
Related work experience in an administrative, admissions, sales, or student services role.
A minimum of 3–4 years of admissions and sales experience with a demonstrated record of performance.
Experience in an academic advising or post-secondary administration role is preferred.
