Original job description
About Bureau:
Bureau is a founder-led global company built around a simple belief: better spaces make better work.
Today, we make soundproof office booths that help people focus, meet and think. But our ambition is much bigger than what we sell. We want to shape how people do their best work, and build a company that can make a meaningful dent in the way work feels.
We’re a small, fast-moving team with a lot still to build. That means real ownership, room for good ideas and the chance to have an outsized impact.
At Bureau, our people are what make us different
At the heart of our business is a global team of passionate, caring, highly accountable and entrepreneurial people who are empowered to make an impact. We bring our true selves, unique talents and personalities to work every day - and we believe that’s what makes our culture stronger.
We’re first and foremost a sales-driven organization, powered by technology and design, with a big ambition: to shape how people do their best work. Through our best-in-class modular workspaces and booths, we’re helping businesses create better places to work - with products that ship around the world.
Our team is global, connected and growing. We operate from our main hubs across Australia, Canada (Vancouver and Toronto), the US (New York and Dallas), and UK/Europe and are supported by talented teams across the Philippines, Argentina, Mexico, Colorado and growing. We’re continuing to expand, with new hubs planned in Los Angeles and San Francisco.
What it’s like to be a Bureaupian:
Bureau runs on the drive, care, and character of its people. We’re intrinsically motivated - we show up with hustle, ownership, and high standards because that’s who we are. We play to win, solve problems with grit and resourcefulness, and step up before we’re asked.
We’re a collaborative, curious team that challenges each other, learns constantly, and gets things done. We care deeply about our work, each other, and the impact we create - but we also believe work should be fun. We don’t take ourselves too seriously, and there’s plenty of personality, humour, and good energy along the way.
Our Core Values and guiding principles shape how we work and show up for one another. We’re building a company where great people can grow quickly, have a voice, do meaningful work, and have fun while doing it. If that sounds like your kind of dream team, we’d love to meet you.
Overview:
The Operations Project Manager owns delivery for Bureau's larger client accounts, from signed order through to a Perfect Install: every booth Fully Complete, on the promised date, with a signed checklist and photos, and without a rectification. This is a hands-on logistics role. You will be coordinating freight, warehousing, delivery and installer crews globally, and the client will hear from you because you know where their booths are and when they will land.
You are the single operational owner for a portfolio of key accounts: multi-site rollouts, enterprise and channel partner orders, and any project with more than a handful of booths in play at once.
Key Responsibilities:
Key Account Delivery
- Own the delivery plan for each assigned account from Closed Won to Fully Complete: site readiness, stock allocation, freight booking, warehouse release, delivery window and install crew.
- Run the client-facing cadence: kickoff, weekly status, pre-install confirmation and post-install sign-off. The client always knows the current promise date and never learns of a slip after the fact.
- Hold the current promise date (CPD) on every ticket in your portfolio. If a date is going to move, the client and the account's sales owner hear it from you before it passes.
- Be the client's operational point of contact: run site walks and planning calls, manage expectations on scope and timing, and handle escalations directly and professionally.
- Coordinate with Sales, Client Care and Product on scope changes, custom orders and site constraints before they become delivery problems.
Commercial and Profitability
- Prepare and send quotes for delivery, installation, storage and other project services, using the standard rate structure and flagging anything that falls outside it.
- Issue and track invoices for your projects, including change orders, storage fees and additional services, and work with Finance to resolve billing questions and chase overdue items.
- Track actual freight, warehousing and install costs against what was quoted on every project, and report margin at close-out.
- Spot cost creep early (extra storage days, re-deliveries, crew overtime, rectification labour) and act on it before it lands on the project's margin.
Freight, Warehousing and Install Coordination
- Book and track inbound and outbound freight (FTL, LTL, final mile) with our carriers and 3PL partners, and chase exceptions through to resolution.
- Manage warehouse release and pick-up timing across our regional 3PLs so stock lands at site in the right window, not early into storage and not late into a missed install.
- Schedule and brief installer crews, confirm site access and conditions, and make sure the install checklist and photo requirements are completed on the day.
- Prepare and check shipping documents (BOLs, packing lists, delivery confirmations) and reconcile delivered quantities against the order.
- Be on site for key installs and willing to pick up the tools alongside the crew when a job needs it. You know the product well enough to troubleshoot a panel, a door or a power issue on the spot.
Product Knowledge
- Learn every Bureau product line inside and out: components, assembly sequence, electrical, common failure points and site requirements.
- Keep current as products change (new versions, SKUs, fixes from the factory) and make sure the installers in your network are briefed on them.
Issue Resolution and Rectifications
- Triage damage, shortages, site failures and defects on your accounts, open the rectification, and drive it to closure with Client Care, Quality and the installer.
- Log defects per market so factory warranty claims can be made, and feed recurring issues into the weekly Ops and Product review.
Reporting and Process
- Keep tickets, dates and stock allocations current in HubSpot and inFlow so the Install Board and ops scorecard reflect reality.
- Report weekly on portfolio status: booths in flight, promise dates at risk, open rectifications and install completion rate.
- Document repeatable playbooks for large-account delivery and contribute to SOPs in Notion.
Project Management and Delivery
- Lead end-to-end project planning, execution, and delivery for client initiatives, ensuring timelines, budgets, and quality standards are met.
- Define project scopes, deliverables, and milestones in collaboration with internal teams and the client.
- Coordinate cross-functional teams (e.g., product, sales, operations, marketing, finance) to deliver seamless project execution.
- Monitor progress, anticipate risks, and implement mitigation strategies to keep projects on track.
- Maintain clear and organized documentation, including project plans, status updates, and issue logs.
Qualifications:
- 3+ years in operations, logistics or supply chain roles, with at least 2 years directly managing freight and warehousing: booking and tracking FTL, LTL and final-mile shipments, working with carriers and 3PLs, and resolving shipping exceptions.
- Hands-on experience managing client accounts or projects where physical goods had to arrive at a site on a committed date, with the client holding you to it.
- Experience preparing quotes and invoices for logistics or installation services, and tracking project costs against them.
- Working knowledge of shipping documentation (BOLs, packing lists, proof of delivery) and of cross-border Canada/US movement, including what a customs hold does to a delivery date.
- Experience coordinating third-party field crews (installers, delivery teams or technicians) and holding them to a quality standard.
- Willing and able to travel to client sites, warehouses and installs across Canada and the US, with occasional international travel. Expect regular travel during active rollouts.
- Willing to learn the product hands-on and comfortable using tools on site when a job calls for it.
Skills and Abilities:
- Exceptional communication and presentation abilities.
- Strong customer-facing skills: you build trust with client stakeholders, run a meeting with them confidently, and stay calm and credible when something has gone wrong on their site.
- Clear, direct written communication. You can tell a client their date is moving, say why, and give them the new one in four sentences.
- Commercial awareness: you understand how freight, storage and labour decisions hit project margin, and you can explain a quote or an invoice line to a client.
- Strong leadership and stakeholder-management capabilities.
- Proven ability to manage multiple complex projects simultaneously.
- Strong analytical, organizational, and time-management skills.
- Proficiency in project management methodologies (Agile, Waterfall), tools (Asana, Jira, Trello, MS Project), and CRM platforms.
- A proactive, problem-solving mindset with the ability to work independently and collaboratively.
- Ability to navigate ambiguity and drive clarity across cross-functional teams.
Compensation:
The expected compensation range for this role includes $75-85K (Base Salary), plus up to 14% Operations Performance Bonus. Final compensation, including the overall compensation package, will be determined based on the successful candidate’s experience, skills, and overall fit for the role. Plus a comprehensive benefits package, including:
- 15 days of paid vacation to recharge and explore
- 10 paid sick/personal days to rest when you need it
- The ability to work remotely for 4 weeks per year, for greater work-life balance
- Your birthday off - because you deserve to celebrate
- Up to 5 additional unpaid PTO days per year for extra flexibility
- Access to the TELUS Employee Assistance Program
- A comprehensive extended health benefits program through Equitable Life
- A health and wellness spending account
- An amazing corporate culture in a fast-growing company that's disrupting the industry
- Career Development Program - $1000 per year to encourage continuous education
- Bureau Master Class Series - a learning experience to help team grow and learn from experts both inside and outside the business
- Reward and Recognition Program
