Purpose:
We are currently recruiting for a Senior Document Controller. Our team includes world class experts and dynamic go-getters. This is a full-time position based in Toronto, Ontario.

Responsibilities:

Handle, upload, and manage engineering, contractor, and vendor documentation within Aconex.
Distribute documents to the appropriate stakeholders, manage access permissions, and maintain version control to ensure the use of current, approved document revisions.
Provide document management support to project team members and external stakeholders, including bidders, vendors, contractors, consultants, and clients.
Verify all documents entered into the system to ensure completeness, accuracy, and compliance with project requirements.
Facilitate and expedite document review and approval workflows, and monitor and report the status of internally developed, supplier, and third-party documents.
Respond to routine inquiries and requests, obtaining and providing information to internal and external stakeholders in a timely and accurate manner.
Provide backup document control support to project teams as required.
Ensure document management databases and systems are maintained to support optimal performance, data integrity, and security.

What you will bring:Technical and Industry Experience:

Advanced proficiency in Microsoft Outlook and Microsoft Office applications, including Excel and Word, as well as Adobe Acrobat. Demonstrated ability to quickly learn and adapt to new software applications and technology platforms.
Strong database management and advanced computer skills; experience with document management systems is considered an asset.
Proven ability to manage multiple priorities, effectively organize workload, and meet deadlines in a fast-paced environment.
Exceptional attention to detail and commitment to accuracy.
Strong time management and organizational skills.
Experience within the industrial construction, engineering, or EPC industry is considered an asset.
Excellent written and verbal communication skills, complemented by strong interpersonal, organizational, and relationship-building abilities.
Ability to work collaboratively in a team-oriented environment while also performing effectively with minimal supervision.
Demonstrated analytical thinking, problem-solving, and decision-making capabilities.
Ability to identify system, process, and organizational challenges, develop practical solutions, and clearly communicate recommendations to stakeholders.
Strong customer service mindset with a proactive approach to supporting internal and external clients.
Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism and discretion.

Education – Qualifications, Accreditation, Training:

Required:

Bachelor's degree required.
Prior Document Control experience in the same industry is preferred.

For applicants based in the province of Ontario, the salary range is $ 77,000 to $90,000 CAD.
Application of the pay band: Variation in salary is determined by factors such as the candidate’s qualifications, relevant years of experience, geographic location, internal pay equity, and prevailing market conditions for the specific role.
