Purpose:

We are currently recruiting for a Project SQS Administrator. Our team includes world class experts and dynamic go-getters. This is a (full-time) position based in Calgary, Alberta.

The Project Supplier Quality Surveillance (SQS) Administrator provides day-to-day administrative and process support to the regional SQS team and project SQS Coordinators. The role helps ensure that project surveillance activities, records, status information, and supporting documentation are maintained accurately and consistently in alignment with applicable project procedures and the Worley Management and Knowledge System. The successful candidate will work with minimal supervision, organize varied priorities, identify administrative or system issues, and recommend practical solutions.

Responsibilities:

Health, Safety and Environment

Demonstrate behavior consistent with duty of care obligations to self, co-workers, suppliers, clients, and the community.
Support the SQS team in maintaining required HSE information and administrative records associated with supplier and inspection activities.

SQS Program and Project Administration

Provide administrative support for the effective implementation of project supplier quality surveillance programs.
Assist SQS Coordinators with the preparation, issue, tracking, and closeout of inspection assignments and related correspondence.
Maintain project SQS registers, trackers, contact lists, distribution lists, and action logs.
Coordinate routine administrative activities across multiple purchase orders, suppliers, inspection agencies, and project stakeholders.
Monitor upcoming due dates and follow up on outstanding reports, deliverables, approvals, and closeout records.

Inspection Documentation and Records

Compile approved purchase order documents, specifications, surveillance plans, inspection and test plans, and reporting instructions for inspection assignments.
Receive, log, format-check, distribute, and file inspection reports and support records in accordance with project requirements.
Check submissions for completeness, correct references, required attachments, and compliance with established document naming and filing conventions.
Maintain traceable and retrievable SQS records in project document management and shared information systems.
Support the compilation and turnover of final inspection dossiers and purchase order closeout records.

Systems, Reporting and Cost Administration

Enter and maintain accurate inspection, supplier, purchase order, status, hours, and cost information in applicable systems and trackers.
Prepare routine dashboards, status summaries, forecasts, metrics, and reports for review by SQS Coordinators and the Regional SQS Manager.
Assist with the verification and processing of inspection agency timesheets, invoices, and supporting documentation, where assigned.
Identify data inconsistencies, missing information, or system issues and coordinate corrections with the appropriate owner.
Provide practical support to team members using established SQS systems, processes, templates, and tools.

Coordination and Communication

Communicate professionally with SQS Coordinators, inspectors, inspection agencies, suppliers, Supply Chain, Engineering, Project Quality, and document control personnel.
Arrange meetings, prepare agendas or supporting information, record actions, and track follow-up items when requested.
Escalate overdue actions, incomplete records, conflicting information, and process concerns to the responsible SQS Coordinator or Regional SQS Manager.
Maintain confidentiality and apply sound judgment when handling commercial, project, supplier, and personnel information.

Continuous Improvement and Team Support

Use established procedures and work methods while recommending improvements to administrative workflows, templates, trackers, and reporting practices.
Assist with onboarding and minor guidance for junior administrative personnel, where assigned.
Support knowledge sharing and consistent work practices across the regional SQS team.
Perform other related SQS administrative and coordination duties as assigned.

What Success Looks Like

SQS Coordinators receive timely, accurate, and well-organized administrative support.
Inspection assignments, reports, trackers, and closeout records remain current, complete, and easy to retrieve.
Upcoming deadlines, missing information, and administrative risks are identified early and communicated to the appropriate owner.
Project teams and external stakeholders receive clear, professional, and consistent information.

What you will bring:Technical and Industry Experience:

Graduate, diploma, or an equivalent combination of education and relevant experience.
A minimum of 3 years of relevant experience in project administration, supplier quality administration, inspection coordination support, procurement support, document control, or a related environment.
Experience supporting moderately complex and varied work assignments with multiple priorities and deadlines.
Strong organizational skills and close attention to detail, accuracy, and record traceability.
Proficiency with Microsoft Office applications, particularly Word, Excel, Outlook, and Teams, and the ability to learn project-specific procurement, document management, and reporting systems.
Ability to review information for completeness, detect errors, follow project-specific procedures, and complete a reliable self-check of work.
Clear written and verbal communication skills, with the ability to work effectively with internal teams, suppliers, inspectors, and external service providers.
Ability to plan and complete work under minimal supervision, identify issues, and recommend practical solutions.

Education – Qualifications, Accreditation, Training:

Required:

Experience in an EPC or EPCM project environment, preferably within energy, mining, chemicals, infrastructure, or industrial projects.
Familiarity with supplier inspection, quality documentation, purchase orders, inspection reports, non-conformance records, and project closeout requirements.
Experience working with third-party inspection agencies, suppliers, remote team members, or international project stakeholders.
Working knowledge of document control, procurement, invoice administration, project reporting, or cost tracking processes.
Advanced Excel skills and experience troubleshooting routine issues with business systems, processes, and tools.
