About the role
The Project Coordinator supports the day-to-day delivery of projects across Xodus. Working closely with Project Managers and team leads, you will help keep projects organized and on schedule by tracking tasks, preparing updates, coordinating meetings, and maintaining project records. This is a great opportunity for someone who is highly organized, enjoys keeping things moving, and wants to build a career in project management.
What you'll do
- Help build and maintain project schedules, task lists, and trackers so the team always knows what is due and who owns it
- Schedule and coordinate project meetings, prepare agendas, take notes, and follow up on action items
- Prepare weekly status updates and reports for the Project Manager and stakeholders
- Track progress against milestones and flag delays, risks, or issues to the Project Manager early
- Keep project documentation organized, current, and easy to find, including plans, meeting notes, and change requests
- Update and manage project information in our project management tools
- Support budget tracking by logging expenses, processing invoices, and keeping spend records up to date
- Act as a point of contact for routine questions from team members and stakeholders, and route issues to the right people
- Help with project wrap-up, including gathering feedback and capturing lessons learned for future projects
- Take on other project support and administrative tasks as needed
The skills you bring
- A college diploma or bachelor’s degree in business administration or a related field. CAPM (Certified Associate in Project Management) or similar training is an asset.
- 1 to 3 years of experience in a project coordination, administrative, or operations support role. New graduates with relevant co-op or internship experience are encouraged to apply.
- Strong organizational and time management skills, with the ability to juggle multiple tasks and deadlines.
- Clear written and verbal communication skills and a strong eye for detail.
- Proficiency in Microsoft Office, especially Excel, Outlook, and Teams. Experience with project management tools (e.g., Microsoft Project, Planner, or Asana) is an asset.
- Interest in the insurance or travel industry. Prior industry experience is a plus but not required.
