Role Description The Administrative Assistant is a full-time, on-site role based in the Greater Toronto Area, Canada. This role provides day-to-day administrative support, including managing phone calls, greeting visitors, handling correspondence, and organizing documents and files. The Administrative Assistant schedules meetings, maintains calendars, prepares basic reports, and supports office operations such as supplies management and coordination with building services. The position may also assist executives with travel arrangements, expense tracking, and confidential administrative tasks. The role requires consistent on-site presence, strong attention to detail, and a professional, service-oriented approach to supporting internal teams and tenants.

Qualifications

Strong Administrative Assistance and Clerical Skills, including calendar management, document organization, and general office support.
Professional Phone Etiquette and Communication skills for interacting with tenants, vendors, and internal stakeholders.
Experience providing Executive Administrative Assistance, including confidential support and coordination of meetings and travel.
Proficiency with common office software (e.g., Microsoft Office Suite, email and calendar applications) and basic data entry.
Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities in a fast-paced office environment.
Ability to work independently on-site while collaborating effectively with colleagues and maintaining a professional demeanor.
Previous experience in commercial real estate, property management, or professional office settings is an asset.
Secondary school diploma required; post-secondary education in business administration, office management, or a related field is preferred.
