What you will do…

Reporting to the Supervisor of Employment Services Program, The Financial Support Admin will work as part of the team that provides employment services to Ontarians. Reporting to the Supervisor, the Admin is responsible for the collection and entry of client data for Employment Ontario Services programming. As part of a team, they will assist in meeting the strategic achievement of all desired outcomes and targets by supporting Employment Coaches and the whole Employment Services team by focusing on employment supports and the procurement of items for clients. The Admin will be responsible for all Employment Related Financial Supports (ERFS) purchases, financial receipts management, and administrative work required through WeData, EOIS-CaMS and financial databases, as well as making purchases in the community alongside clients. The position will also support data collection to supplement monthly reporting on program outcomes. Those duties are the collection and entry of specific required documents, such as receipts and other sensitive information, into WeData/EOIS-CaMS for the client’s file completion. The successful candidate will demonstrate a personal commitment to and understanding of the Y’s mission, vision, values and participant outcomes.

What you will bring…

Administer Employment Related Financial Supports, including purchases, receipt tracking, and monthly reconciliation in coordination with Finance.

Collect, enter, and manage client data and documentation in WeData/EOIS-CaMS to support Employment Ontario Services specifically around the Employee Financial Supports.

Maintain high standards of data integrity within case management systems (e.g., CaMS, WeData).

Develop rationale for financial support approvals through the Service System Manager for each client submission. Liaise with the SSM if financial supports are rejected to develop an approach to supporting the client.

Support program reporting by compiling statistical data and preparing required documentation for management and funders.

Provide front-line administrative support including handling inquiries, referrals, and walk-in traffic with a strong client service orientation.

Ensure timely and professional communication with internal teams and external stakeholders.

Monitor and manage Employment Related Financial Support budget, including monthly expenditure tracking and variance analysis.

Uphold confidentiality and data integrity across all platforms and ensure compliance with regulatory and internal controls.

Assist in identifying and implementing improvements to program delivery and service effectiveness.

Represent the Employment Services at community events and maintain strong community relationships.

Demonstrate commitment to YMCA values and policies, including child protection and customer service standards.

Collaboration & Community Engagement

Attend and actively contribute to internal and external meetings, case conferences, community partnerships, workshops and info sessions.

Collaborate with community agencies and service providers to support client success.

Support Employment Coaches with follow-up activities for active clients.

Contribute to presentations and outreach initiatives with community groups, employers, and stakeholders.

Team Contribution & Continuous Improvement

Share best practices and contribute to improving strategies and program outcomes.

Support a culture of accountability, collaboration, and continuous improvement.

What you will bring…

Completion of University Degree in a related field.

Experience in administration, finance/accounts payable, information and referral services, and employment services

Administrative/Office Management Skills.

Advanced computer knowledge of Microsoft Office suite

Understanding of data integrity, reporting, and confidentiality requirements.

Excellent oral and written communication skills

Advanced organization skills with the ability to work in collaboration with multiple team members at onetime

Ability to manage time and meet tight deadlines

Experience with Employment Ontario or similar programs is considered an asset.

Ability to communicate in a 2nd Language an asset

Acceptable Vulnerable Persons Record Check, not more than 3 months old is a mandatory requirement. This requirement requires a renewal every three (3) years.
