Who we need

Reporting to the Dean of Nursing, we are hiring an Administrative Assistant. As our new Administrative Assistant, you will be at the centre of the day-to-day operation of our nursing program, working closely with academic leadership, faculty, and students to keep a wide range of activities moving forward. From coordinating faculty and academic activities to supporting students, events, committees, scheduling, and program documentation, you will have the opportunity to see how a university program operates from the inside and become a trusted partner to the people who make it happen.

This is a full-time, permanent role based at our Sackville, New Brunswick campus, with an expectation of working onsite five days per week.

Broad exposure and meaningful relationships. You will be at the centre of a growing nursing program, working closely with the Dean, Associate Dean, faculty, and students. Your work will span academic administration, faculty support, scheduling, committees, events, and student activities, giving you a well-rounded understanding of how a nursing program operates and the opportunity to become a trusted resource across the team.

Growth and opportunity. As you become immersed in the program, you will deepen your knowledge of academic operations and take greater ownership of the processes that keep things running smoothly. You will have opportunities to expand your skills, build relationships across Yorkville University, and access tuition-free courses across its institutions, giving you the opportunity to continue investing in your own development while helping students pursue theirs.

How you will make an impact

Keep the program running smoothly. You will provide day-to-day administrative support to the Dean, Associate Dean and nursing program, coordinating information, documentation, schedules, resources, and follow-ups. You will become familiar with the details of program operations and make sure important tasks, requests, and commitments are handled accurately and on time.
Support faculty and academic activities. You will coordinate faculty communications, onboarding activities, records, scheduling, resources, and administrative requirements throughout the academic year. You will also provide practical support during examination periods and help faculty access the information and materials they need.
Coordinate meetings and committees. You will organize meetings, prepare agendas and meeting packages, record minutes, track attendance and decisions, and follow up on action items. You will help ensure academic committees and governance activities are well organized and that decisions and next steps are clearly documented.
Maintain accurate academic information. You will support curriculum documentation, program records, reporting, filing, and data entry, ensuring that information is organized, up-to-date, and easy to access. You will maintain confidential records with appropriate care and attention to detail and support reporting requirements, including documentation related to nursing licensure and compliance.
Connect students, faculty, and internal teams. You will help coordinate student registration and engagement activities, orientation, access cards, name tags, and other practical details that contribute to a positive campus experience. You will work with teams such as the Registrar, IT, and other internal departments to resolve questions, coordinate services, and keep information moving.
Bring campus activities to life. You will support events and student activities, including nursing recognition and pinning ceremonies. You will coordinate the practical details, communicate with the people involved, and make sure the experience is organized from planning through completion.
Support continuous improvement. You will maintain clear notes, records, and reports that help the program understand what is happening operationally and identify what needs attention. You will look for practical ways to improve organization, communication, and administrative processes as you become more familiar with the program.

The administrative experience. You have experience in an administrative, coordination, program support, office, education, healthcare, or similarly people-focused role. You are comfortable managing varied responsibilities and understand how strong administration, accurate information, and reliable follow-through help a team operate effectively.
The organization. You are highly organized and able to manage multiple priorities without losing sight of the details. You know how to manage calendars, meetings, documentation, follow-ups, and competing requests while ensuring important commitments are not overlooked.
The communication skills. You communicate clearly and professionally in person, by email, and in meetings. You are comfortable working with different people and can adapt your communication style when supporting students, faculty, academic leaders, and internal teams.
The people focus. You enjoy working with people and take pride in creating a positive experience for those around you. You are approachable, responsive, and comfortable being a visible point of contact for students and colleagues in a campus environment.
The flexibility and judgement. You are comfortable with variety and can move between different types of work throughout the day. You use good judgement when priorities shift, know when to take ownership, and know when to ask questions or involve others.
The attention to detail. You are careful with records, documentation, data, and confidential information. You can keep information organized, maintain accurate files and trackers, and produce clear documentation that others can rely on.
The technical skills. You are proficient with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, and you are comfortable learning new systems and processes. You can use technology to organize information, manage administrative workflows, and support effective communication.

Compensation philosophy

We believe compensation should be fair, straightforward, and supportive of your growth. Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity.

This position offers a minimum annual salary of $50,000, a midpoint of $52,500, and a maximum of $55,000. Established hires typically start near the midpoint, while the upper range is reserved for those with deep expertise and sustained contributions. Offers below the midpoint recognize strong potential with room to grow.

We strive for equitable, consistent pay, though rates may vary within the same role based on performance, specialized knowledge, and impact.

Base salary is one part of a broader package that includes paid time away, retirement savings matching, and extended health coverage with 80% of premiums paid. After 12 months of full-time employment, there is also tuition-free access to all our education programs.
