The Opportunity
YWCA Banff is seeking a creative, highly organized and self-directed Events & Community Engagement Coordinator to bring people together through meaningful events and community initiatives.
This is exciting, practical and purpose-driven work. As part of YWCA Banff's Marketing & Communications team, you'll help bring our signature fundraising events and community engagement initiatives to life, creating memorable experiences that connect people, build relationships and inspire community support.
This role is for someone who understands that a great event is about more than what happens on the day. It's about the people who come together, the connections that are made and the impact that continues long after the event ends.
You'll coordinate events from initial planning through to final wrap-up, bringing together vendors, volunteers, sponsors, community partners and colleagues to ensure everything runs smoothly.
You'll also support event-related marketing, communications and community awareness initiatives, helping share our story and connect people with the work we do.
Your work will help advance YWCA Banff's mission to end gender-based violence, address housing insecurity and build a thriving, equitable Bow Valley.

You are a natural coordinator who loves bringing ideas to life and takes pride in seeing every detail come together.
You are creative, resourceful and exceptionally organized. You can manage multiple projects, competing priorities and tight timelines while keeping people informed and plans moving forward.
You enjoy working with people. Whether coordinating with a vendor, briefing volunteers, supporting a community partner or welcoming guests, you bring professionalism, warmth and confidence to every interaction.
You are calm under pressure and quick to find practical solutions when plans change. You anticipate challenges, communicate clearly and know when to seek guidance or escalate an issue.
You have an eye for presentation and understand how thoughtful communications, event materials and attention to detail contribute to a great experience.
You may come with experience in event management, hospitality, fundraising, nonprofit organizations or community programming. What matters most is that you are proactive, dependable, creative, solutions-focused and excited to bring people together in support of meaningful change.

About You
In this role, you'll help ensure YWCA Banff's fundraising events and community engagement initiatives are thoughtfully planned, well coordinated and successfully delivered.
The ideal candidate is:

Key responsibilities include but are not limited to:
Event Planning and Delivery
- Coordinate the full lifecycle of assigned YWCA Banff signature and engagement events, from planning and timelines through on-site execution and wrap-up.
- Build and maintain an annual events calendar and a project plan for assigned events
- Source, negotiate with, and manage vendors, venues, speakers, entertainment, and catering; coordinate quotes, logistics, and communication within approved budgets.
- Secure required permits, licences, and insurance, and manage event risk and safety planning, escalating risks and seeking approvals as required.
- Prepare run-of-show documents and lead on-site event management, including set-up, teardown, vendor coordination, volunteer direction and issue escalation.
- Coordinate guest lists, registration, ticketing, and attendee communications
Fundraising, Sponsors, and Partners
- Work with the Fund Development Administrator to support sponsor fulfillment and recognition ensuring sponsor commitments are tracked delivered
- Coordinate with event committees, partners, and community groups to support timely event planning, communication and delivery.
Volunteers
- Recruit, schedule, brief, and provide event-day direction to volunteers
Budgets and Reporting
- Prepare draft event budgets, track approved event budgets and reconcile expenses after each event.
- Prepare post-event reports covering revenue, attendance, audience insights, lessons learned and operational recommendations for review
Marketing
- Coordinate with designers, printers, and subcontractors to prepare event materials, such as posters, brochures, signage, and promotional materials in alignment with approved brand direction
- Apply approved brand standards and visual identity across event materials and presentations, escalating new brand or messaging decisions for approval.
- Support the Program team with community-focused initiatives, including outreach events, awareness campaigns, and related materials
- Support internal and external communications related to events and community initiatives by preparing draft content, coordinating timelines, and sharing approved materials.
Qualifications & Experience
We are looking for someone who brings a strong mix of event coordination, communication, creativity and follow-through.
You bring
- 2–4 years’ experience in event planning or coordination; fundraising events, galas, community events, or auctions an asset
- Degree or diploma in Event Management, Hospitality, Nonprofit Management, or a related field preferred
- Strong project coordination skills, with a proven ability to manage multiple events and deadlines at once
- Experience preparing draft budgets, tracking approved budgets, coordinating vendor quotes, and supporting vendor communication.
- Proficiency with registration and ticketing platforms, spreadsheets, and project management tools; auction software experience an asset
- Experience creating event content for social media and email newsletters; experience with website CMS platforms an asset
- Working knowledge of Canva for adapting brand templates, and experience coordinating with design and print vendors
- Knowledge of Alberta special event liquor licensing an asset; ProServe certification an asset
- Confident representing the organization in community-facing roles
- Willingness to work evenings and weekends as events require

Position Details
The Events & Community Engagement Coordinator is a full-time, year-round position working 37.5 hours per week. This role is delivered across a five-day work week, with 7.5-hour shifts. As YWCA Banff is a seven-day-per-week operation, the schedule may shift based on operational needs.
This position reports to the Senior Marketing Manager.
The successful candidate must be located in the Bow Valley and involves on-site event coordination in Banff and the Bow Valley, with flexibility to work evenings and weekends as events require.
