Introduction

At Zeidler Architecture, we believe that design has the power to shape experiences and transform communities. As a leading Canadian architectural practice with a legacy spanning over 70 years, we are known for delivering thoughtful, innovative, and enduring design solutions across sectors and geographies.

Rooted in a deep commitment to collaboration, design excellence, and sustainability, Zeidler brings together a diverse team of professionals united by a shared purpose: to create impactful architecture that connects people and elevates the built environment.

We are currently seeking a Senior Proposal Specialist to join our Toronto/ Calgary Studio. The ideal candidate brings strong proposal strategy, exceptional writing and coordination skills, and the ability to lead compelling submissions from opportunity through to final delivery.

Job Summary

The Senior Proposal Specialist plays a key role in developing compelling, high-quality proposals that position the firm for success in competitive pursuits. Working closely with the Proposals and Business Development team, this role leads the coordination, writing, and production of submissions that align with strategic goals and reflect the firm’s brand.

Key Responsibilities

Lead the development, writing, editing, and design of competitive proposals in response to RFPs, ensuring clarity, compliance, consistency, and alignment with brand and messaging.
Collaborate with the BD team to shape proposal strategy, including identifying strong project examples, crafting vision statements, and supporting positioning efforts.
Manage proposal timelines, responsibilities, and inputs from internal teams and external consultants to ensure timely, high-quality submissions.
Customize project profiles, team CVs, and other content to fit the unique requirements of each pursuit.
Compile and format submission documents and oversee their delivery.
Research and evaluate bid opportunities on assigned platforms, supporting go/no-go discussions with strategic insight.
Maintain and update accurate collateral databases, including project narratives, team CVs, and boilerplate content.
Conduct peer reviews of proposals to uphold quality standards and share best practices across the team.
Support broader marketing and business development initiatives as required.
Actively contribute to a safe and respectful workplace, adhering to all health and safety policies and procedures.
Participate in firm-wide marketing initiatives and brainstorming sessions
Able to work in a collaborative, in-office environment (100% in-office presence required to support direct team engagement and effective cross-functional coordination)

Qualifications

Post-secondary degree in marketing, communications, architecture, or related field
5-8+ years of relevant experience, preferably in architecture, engineering, or design industries
Strong leadership and project management skills
Excellent writing, editing, and organizational skills
Advanced proficiency in Microsoft Office and Adobe Creative Suite (InDesign required)
Ability to manage multiple deadlines with attention to detail.

Why Join Us?

At Zeidler, you’ll be part of a nationally respected architectural practice with deep Canadian roots and a legacy of award-winning work across sectors - from civic landmarks and community spaces to advanced research and workplace environments.

We foster a collaborative, inclusive studio culture that values creativity, accountability, and design integrity. With studios in Toronto, Calgary, and Vancouver, we offer the opportunity to work on projects across the country and beyond, supported by teams who are passionate about architecture’s potential to make a positive impact.

Here’s what you can expect as part of our team:

A respectful, supportive, and engaging in-office environment
Opportunities for mentorship, leadership, and professional growth at all levels
A strong commitment to sustainability and continuous learning
Competitive compensation with an annual profit share
Comprehensive benefits, including extended health and dental, EFAP, wellness spending, and professional membership reimbursement
PATO Days (additional time off around long weekends and holiday closures)
Wellness initiatives, training programs, and social events that strengthen our studio culture

If you're a motivated and inspired individual who thrives in a fast-paced, design-driven environment and is excited to grow within a collaborative team, we’d love to hear from you.

Zeidler is committed to equal opportunity for all employees and applicants, and we stand by our principles for a diverse, equitable and inclusive workplace.
