Job Overview:
We are seeking a proactive, detail-oriented Executive Assistant to support the Vice President of Investor Relations & Corporate Development. This is a high-visibility role at the intersection of executive support and the company's public-market communications, requiring discretion, professionalism, and comfort operating in a fast-paced, confidential environment. The successful candidate will manage the VP's calendar and investor-facing scheduling, coordinate communications with shareholders, analysts, and external partners, and provide day-to-day administrative support that keeps the IR and Corporate Development function running smoothly.
Key Responsibilities:
- Manage complex, frequently changing calendars for the VP, including scheduling investor meetings, analyst calls, board and committee meetings, and internal leadership sessions across multiple time zones.
- Coordinate logistics for investor-facing engagements, including earnings calls, investor conferences, roadshows, and one-on-one investor/analyst meetings (travel, materials, briefing documents, and follow-up).
- Serve as a primary point of contact for shareholders, analysts, and external stakeholders reaching out to the VP's office, triaging inquiries and routing time-sensitive requests appropriately.
- Prepare, format, and proofread correspondence, presentations, and briefing materials, including investor updates, board materials, and internal memos, ensuring accuracy and consistency.
- Support coordination around quarterly earnings releases and other market-moving announcements, working closely with Finance, Legal, and Communications on scheduling and logistics (not drafting disclosure content).
- Maintain and organize confidential files, contact databases (e.g., investor/analyst CRM or contact lists), and corporate development deal-related documentation with a high standard of discretion.
- Process expense reports, invoices, and department budget tracking as needed.
- Arrange domestic and international travel, including detailed itineraries for investor roadshows and conferences.
- Assist with the planning and execution of internal meetings, town halls, and offsite leadership sessions.
- Provide backup administrative support to other members of the Corporate Development team as needed.
Qualifications:
- 2–5 years of experience as an Executive Assistant or senior administrative professional, ideally supporting a VP, Director, or senior leader.
- Exposure to investor relations, corporate development, or capital markets functions is a strong asset, but not required.
- Demonstrated ability to handle confidential and market-sensitive information with sound judgment and discretion.
- Excellent written and verbal communication skills, with a professional, polished manner when liaising with external investors and senior stakeholders.
- Strong organizational skills with the ability to manage competing priorities and shifting deadlines, particularly around quarterly reporting periods.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with investor/CRM databases is an asset.
- Post-secondary education in business administration, communications, finance, or a related field is preferred.
- Comfortable working in a fast-paced, deadline-driven environment, with flexibility to support occasional off-hours needs around earnings releases or major announcements.
