Original job description

About Us:

ZenaTech, Inc. is a Nasdaq-listed emerging technology company focused on AI drone, Drone as a Service (DaaS), and Enterprise SaaS solutions for mission-critical applications for business and governments. We are dedicated to pushing the boundaries of drones to streamline legacy processes across various industries including defense, agriculture, and warehouse and logistics. We focus on applications including inspections, security, inventory management, environmental monitoring, border control, land surveys, and precision agriculture improving crop yields.

This position is onsite 5 days a week at our 250 University Office and is not offered hybrid or remote

Job Overview:

We are seeking a proactive, detail-oriented Executive Assistant to support the Vice President of Investor Relations & Corporate Development. This is a high-visibility role at the intersection of executive support and the company's public-market communications, requiring discretion, professionalism, and comfort operating in a fast-paced, confidential environment. The successful candidate will manage the VP's calendar and investor-facing scheduling, coordinate communications with shareholders, analysts, and external partners, and provide day-to-day administrative support that keeps the IR and Corporate Development function running smoothly.

Key Responsibilities:

Manage complex, frequently changing calendars for the VP, including scheduling investor meetings, analyst calls, board and committee meetings, and internal leadership sessions across multiple time zones.
Coordinate logistics for investor-facing engagements, including earnings calls, investor conferences, roadshows, and one-on-one investor/analyst meetings (travel, materials, briefing documents, and follow-up).
Serve as a primary point of contact for shareholders, analysts, and external stakeholders reaching out to the VP's office, triaging inquiries and routing time-sensitive requests appropriately.
Prepare, format, and proofread correspondence, presentations, and briefing materials, including investor updates, board materials, and internal memos, ensuring accuracy and consistency.
Support coordination around quarterly earnings releases and other market-moving announcements, working closely with Finance, Legal, and Communications on scheduling and logistics (not drafting disclosure content).
Maintain and organize confidential files, contact databases (e.g., investor/analyst CRM or contact lists), and corporate development deal-related documentation with a high standard of discretion.
Process expense reports, invoices, and department budget tracking as needed.
Arrange domestic and international travel, including detailed itineraries for investor roadshows and conferences.
Assist with the planning and execution of internal meetings, town halls, and offsite leadership sessions.
Provide backup administrative support to other members of the Corporate Development team as needed.

Qualifications:

2–5 years of experience as an Executive Assistant or senior administrative professional, ideally supporting a VP, Director, or senior leader.
Exposure to investor relations, corporate development, or capital markets functions is a strong asset, but not required.
Demonstrated ability to handle confidential and market-sensitive information with sound judgment and discretion.
Excellent written and verbal communication skills, with a professional, polished manner when liaising with external investors and senior stakeholders.
Strong organizational skills with the ability to manage competing priorities and shifting deadlines, particularly around quarterly reporting periods.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with investor/CRM databases is an asset.
Post-secondary education in business administration, communications, finance, or a related field is preferred.
Comfortable working in a fast-paced, deadline-driven environment, with flexibility to support occasional off-hours needs around earnings releases or major announcements.
