ZenaTech is a Nasdaq-listed technology company focused on AI drone, Drone as a Service (DaaS), and Technology solutions for mission-critical applications for business and governments. Position Summary

The Insurance Coordinator / Specialist supports the day-to-day administration of the organization's insurance portfolio across all corporate entities. This role maintains accurate policy records, tracks renewals and expiry dates, assists with the administration of master insurance programs, and supports the transition of insurance policies for newly acquired companies working under the direction of the Insurance Manager or Director, Risk Management to help ensure all companies maintain adequate coverage.

Key Responsibilities

Insurance Portfolio Support

Support the administration of the company's insurance portfolio, including: Property; General Liability; Professional

Liability; Cyber; Directors & Officers (D&O); Automobile; Environmental; Crime/Fidelity; Cargo and Specialty Policies.

Help track coverage levels across operating companies and flag potential gaps to the Insurance Manager.

Assist with gathering information for brokers and insurers during renewal and negotiation cycles.

Policy Administration & Record-Keeping

Maintain a centralized, up-to-date repository of all insurance policies.

Keep accurate records of: policy details, coverage limits, deductibles, premium amounts, endorsements, certificates of insurance, and renewal/expiry dates.

Track renewal timelines and send reminders to prevent coverage gaps.

Maintain insurance reporting dashboards and renewal calendars.

Assist with internal and external audits related to insurance and risk management by compiling requested documentation.

Master Program Support

Help maintain and update corporate master insurance programs and master policies under the direction of the Insurance Manager.

Support the standardization of insurance documentation across business units and legal entities.

Assist with data-gathering for coverage consolidation and premium optimization reviews.

Acquisition Integration Support

Assist with collecting and organizing insurance documentation for newly acquired companies.

Help compile historical claims and coverage information to support due diligence led by senior staff.

Support the administrative transition of acquired companies' policies into corporate master programs.

Coverage Adequacy Support

Help monitor that subsidiaries, divisions, and affiliated companies maintain adequate insurance coverage at all times, escalating any gaps identified.

Assist with periodic exposure and coverage-gap data collection.

Review contracts and commercial agreements for insurance requirements and flag discrepancies for review.

Claims Support

Assist with claims reporting and track claims through to resolution.

Help compile claims trend data for review by the Insurance Manager.

Act as a day-to-day point of contact with insurers and brokers on routine claims matters.

Stakeholder Support

Respond to routine insurance questions from internal business partners, escalating complex matters to the Insurance Manager.

Support broker and carrier communications on administrative matters.

Qualifications

Education

Bachelor's degree or diploma in Business, Finance, Risk Management, Insurance, or a related field (or equivalent experience).

Progress toward CIP (Chartered Insurance Professional) or equivalent designation is an asset.

Experience

1–3 years of experience in insurance administration, claims support, or a related coordinator/specialist role.

Exposure to multi-entity or corporate insurance programs is an asset.

Experience supporting renewals, certificate tracking, or claims coordination.

Skills & Competencies

Working knowledge of commercial insurance policies and terminology.

Strong attention to detail and organizational skills.

Proficiency in Excel and insurance tracking/reporting tools.

Good written and verbal communication skills.

Ability to manage multiple deadlines (renewals, audits, documentation requests) with minimal supervision
