QMS & Regulatory Maintenance
- Standard Enforcement: Work strictly within the established Quality Management System to uphold organizational standards.
- Listing Management: Assist in maintaining active registrations and certifications for ISO, Transport Canada, ULC, and CSA.
- Audit Facilitation: Serve as a key representative and facilitator during internal, client, and third-party regulatory audits.
Data, Traceability & Material Compliance
- Data Retention: Oversee the secure archiving, retrieval, and legally compliant retention of all quality documentation.
- Traceability Compliance: Monitor and verify component-level and product-level traceability across production stages.
- MTR Retrieval: Locate, retrieve, and validate Material Test Reports (MTRs) to ensure raw materials meet exact project specifications.
Operational Compliance & Training
- Calibration Compliance: Track, schedule, and document the calibration of all tools, gauges, and laboratory equipment.
- Training Compliance: Monitor employee training records to ensure all personnel meet mandatory regulatory and operational certifications.
- Non-Conformance Tracking: Assist in documenting deviations, corrective actions (CAPA), and continuous improvement initiatives.

Requirements and Qualifications
- Minimum of 3–5 years of experience in a compliance, quality assurance, or technical administrative role.
- Proven experience working directly with ISO management systems (e.g., ISO 9001).
- Hands-on experience navigating highly regulated environments, specifically dealing with Transport Canada, ULC, or CSA standards.
- Document Control: Exceptional organizational skills with experience managing complex digital and physical filing systems.
- Attention to Detail: High accuracy in auditing technical sheets, calibration certificates, and material reports.
- Communication: Clear verbal and written communication skills to effectively interface with external auditors and internal teams.
- Problem Solving: Ability to identify compliance gaps and proactively implement corrective actions.
Health and Safety
- Understand applicable Environmental, Health & Safety policies and procedures in the workplace.
- Report unsafe conditions to your supervisor/manager and/or a JHSC member immediately.
- Report injuries, accidents, illnesses, near misses, property damage to your supervisor/manager and/or a JHSC member immediately.
- You may be required to wear Personal Protective Equipment (PPE) in a manufacturing environment (i.e., safety glasses, safety shoes, hearing protection, high visibility vests, etc.).
Working Conditions
Physical Environment:
- Requires use of office equipment including phone/switchboard, postal machine and copier.
- Will be required to converse with other individuals such as, vendors, shipping and purchasing team members.
Workplace Hazards:
- Risk of repetitive motion injuries or musculoskeletal strain.
- At times will be required to wear Personal Protective Equipment when entering the production floor.
- May be exposed to noise, dust and hot/cold temperatures when in the production area.
Team & Work Environment:
- While the work is primarily independent, it will require cooperation with interdepartmental teams and external stakeholders.
- Communication will be essential for managing vendor interactions, whether in person or over the phone
Effort Requirements
Physical Effort:
- Move and lift objects of up to 15 pounds
- Moderate amount of time sitting
Mental & Cognitive Effort:
- Verbally converse with other individuals
- Use of office equipment including telephone, personal computer, calculator, copy and fax machine.
- Ability to audit, evaluate, and report concerns and recommendations.
