POSITION SUMMARY
The Estimating Coordinator is the administrative engine behind AirWise's quoting process. This role owns the intake and tracking of every new quote request - logging it in the CRM, confirming the basic information required to estimate is present, tracking deadlines, and keeping the Lead Technical Designer and estimating team informed and on schedule. It is the discipline that ensures no request falls through the cracks and that the technical team can focus on estimating. This position is central to making AirWise's quote turnaround measurable, consistent, and fast.
KEY RESPONSIBILITIES
- Receive and administer all new quote requests as they enter the estimating queue.
- Enter every request into the CRM completely and accurately, creating the job/estimate record that follows the project through its lifecycle.
- Confirm that the basic information required to estimate - specifications, drawings, scope, and customer details - is present before work begins, and follow up to fill gaps.
- Track deadlines and turnaround targets for every active quote, flagging at-risk items early.
- Keep the Lead Technical Designer and estimating team continuously updated on queue status, priorities, and pending information.
- Maintain CRM data quality and completeness across all estimating records.
- Coordinate hand-offs between estimating, sales, and customer success so quotes move smoothly through the process.
- Produce simple status reports on quote volume, turnaround, and pipeline as needed.
KEY PERFORMANCE INDICATORS
- CRM completeness: percentage of quote requests logged completely and accurately at intake.
- Information-ready rate: percentage of requests with all required information captured before estimating begins.
- Deadline tracking: on-time flagging of at-risk quotes; reduction in missed turnaround targets.
- Quote turnaround:
supports the team-wide response and quote-turnaround targets.
- Team enablement: estimating team consistently has the information and visibility it needs to work efficiently.
QUALIFICATIONS & EXPERIENCE
- 2+ years in a coordination, administration, project support, or customer service role, ideally in a manufacturing, construction, or technical environment.
