About the Role:
During maternity leave coverage, you'll be the HR operational backbone, working closely with our COO. You'll manage BambooHR, benefits administration, recruitment, onboarding, employee support, and employment documentation. You'll make sound judgment calls on routine HR matters and know when to escalate complex issues.
You'll keep systems current, anticipate what needs attention, coordinate moving parts, and bring issues to the COO with clear context when they need input. It's operations-focused, detail-oriented work that requires responsiveness, accuracy, and good judgment.
Key Responsibilities:
- Maintain BambooHR: employee records, document management, reporting, and system configuration
- Manage PTO tracking and approvals
- Coordinate onboarding and offboarding logistics
- Handle BC Employment Standards issues (leave, accommodations, termination), escalating complex matters to COO
- Manage recruitment end-to-end: post openings, screen candidates, coordinate interviews, draft offers, conduct reference checks
- Draft employment contracts, amendments, bonus letters, and pay increase letters
- Partner with the Finance Team on BC Employment Standards requirements for payroll (overtime, deductions, compliance)
- Benefits administration including enrolment, plan questions and claims and renewal logistics
- Maintain and update employee handbook
- Manage employee gifts and recognition
- Process employee grant documentation and reporting
- Team all-hands event planning support
- Take on ad-hoc projects as they arise
Requirements:
- Prior HR experience (full-time or part-time)
- HRIS: Proficiency with data entry, reporting, document management, and basic system configuration
- BC Employment Standards Act: Strong working knowledge of leave rules, overtime, accommodations, and notice periods
- Benefits administration: Conceptual understanding of group health/dental plans, spending accounts, open enrolment
- Employment documentation: Ability to draft employment agreements and amendments; knows when to flag legal complexity for review
- Canadian payroll/tax basics: Conceptual understanding of T4, T4A, EI, CPP (not preparation, but enough to flag risk)
- Recruitment operations: Comfort with posting, screening, interview coordination, offer management
- Professional judgment: Ability to make sound decisions on routine HR matters without constant oversight; clear thinking on what escalates versus what you own

- Clear communicator. You explain policies to staff with different HR literacy levels; you're empathetic in sensitive conversations (leave, departures, benefits questions). You communicate crisply with the COO on what matters.
- Systems-minded. You've worked in or understand grant-funded staffing models. You're comfortable with variable workload and flexible scheduling. You're proactive about keeping things organized.
- Adaptable and reliable. You thrive in a dynamic environment. You don't need constant oversight, and you follow through on commitments without being asked twice.
