We're looking for a friendly, organized, and proactive Business Concierge to join our team! This role is much more than greeting visitors – you’ll be the go-to person for keeping our office running smoothly and supporting both our internal team and building tenants.
What You’ll Be Doing:
- Front Desk & Concierge Duties(approximately 50%)
- Welcome and treat all tenants and guests respectfully (i.e. a warm and professional greeting).
- Handle courier deliveries and outgoing shipments.
- Sort and distribute incoming mail for Apple and our tenants.
- Prepare outgoing mail and manage postage/supplies at the mail station.
- Provide exceptional service and solve problems for tenants and guests.
- Office & Facility Management (approximately 25%)
- Ensure the facility is maintained to high standards:
- Order office, kitchen, and bathroom supplies.
- Keep communal areas tidy (monitor cleaning needs, light vacuuming/dusting as needed).
- Be aware of matters that require attention, and coordinate support when necessary (i.e. oversee building maintenance and service providers for carpet cleaning, painting, repairs, etc.).
- Handle miscellaneous errands like bank deposits and supply runs.
- Sales Support (approximately 15%)
- Give building tours and help with rental inquiries.
- Prepare lease documents and handle account setups.
- Organize key and fob access.
- Process credit card payments and cheque deposits.
- Prepare monthly sales and rental reporting.
- Month-End & Admin Support (approximately 10%)
- Assist Finance with month-end reporting (rent, boardroom bookings, mail/courier activity).
- Process customer refunds (cheque prep, posting, mailing).
- Maintain accurate filing systems for both Apple and tenant records.
- Support Xerox machine needs (reporting, supplies).
- Help pack up documents for year-end storage.
- Ad hoc admin requests.
What You Bring:
- An entrepreneurial attitude to running the business.
- Strong organizational skills and attention to detail.
- Great communication and a welcoming attitude.
- Ability to juggle tasks and adapt to a dynamic environment.
- Experience with administrative tasks, customer service, or facility support is a plus.
Qualifications & Requirements:
- Ability to work full-time weekdays, some Saturdays, and occasional after-hours availability as required.
- 2+ years of sales experience in retail, hospitality, or sales.
- Familiarity with Microsoft Office (Word, Excel, Outlook).
