Reporting to the Manager, Administration, the Team Lead plays a central role at the intersection of administrative functions and executive support. This person provides leadership to the administrative team, optimizes processes and ensures the delivery of exemplary service.
Key Responsibilities
Team Supervision:
- Supervise the administrative team divided between Montreal and New York, coordinate priorities and ensure consistent service delivery;
- Manage absences, replacements, leave requests and business continuity;
- Define objectives, conduct performance evaluations and support the development of team members.
Administrative And Management Support
- Provide administrative support to selected senior management, including the management of travel, expense accounts and ad hoc requests;
- Rotate the management of the signatures box and follow up on requests;
- Manage the corporate travel program, including supplier relations, negotiation of fare agreements, employee support and optimization of practices and processes;
- Participate in various administrative projects and assume any other related responsibilities.
Offices Management
- Ensure the management of offices, including leases, suppliers, maintenance, fit-out projects and the associated construction work;
- Prepare and monitor office-related budgets;
- Maintain effective relationships with owners, suppliers and partners, negotiate renewals and follow up on contractual commitments.
Professional Requirements
- Hold a college or university diploma in administration, management, office administration, or any equivalent combination of training and experience;
- Have at least seven (7) years of relevant administrative experience, including 2 years of experience supervising teams and supporting senior management;
- Experience in managing offices, suppliers, budgets and corporate travel (an asset).

- Proficiency in Microsoft 365 applications (Excel, Word, Teams, Outlook, SharePoint, Power Point);
- Knowledge of SAP Concur is a strong asset;
- Comfortable in a growing company;
- Bilingual in both spoken and written French and English, in order to interact daily with colleagues in offices outside Quebec as well as with external partners across Canada, the United States, and internationally.
