Role Description The Executive Assistant to the Chief Executive Officer is a full-time, on-site role based in Vancouver, BC. This role provides comprehensive executive-level administrative support to the CEO, including managing calendars, coordinating meetings, and organizing travel arrangements. The Executive Assistant prepares and processes expense reports, drafts correspondence, and maintains confidential records and files. Day-to-day tasks include prioritizing and handling incoming communications, supporting board and investor meeting preparation, and ensuring the CEO is briefed and prepared for key engagements. The role also involves liaising with internal teams and external partners, coordinating logistics for events, and performing general administrative duties to ensure smooth executive operations.
Qualifications
- Strong Executive Administrative Assistance and Administrative Assistance skills, with experience managing complex tasks and priorities.
- Demonstrated Executive Support capabilities, including handling confidential information and supporting senior leadership.
- Proficiency in Expense Reports, with attention to detail and familiarity with budgeting or finance processes.
- Effective Diary Management skills, including scheduling, calendar coordination, and meeting organization.
- Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
- High level of discretion, integrity, and reliability, with a proactive and solution-oriented mindset.
- Strong organizational and time-management skills, including the ability to meet deadlines in a fast-paced environment.
- Proficiency in office productivity software (e.g., Microsoft Office or Google Workspace); familiarity with project management tools is an asset.
- Previous experience supporting a CEO or senior executive, ideally within finance, venture capital, or related sectors.
- Post-secondary education in business administration, communications, or a related field is an asset.
