We are seeking a dynamic and detail-oriented Construction Project Administrator to join our team. This pivotal role involves coordinating and supporting all phases of development and construction projects, ensuring seamless communication, documentation, and project execution. Responsibilities
Project & Contract Administration
- Support Project Managers in all aspects of contract administration and trade coordination
- Assist with site visits to gather firsthand information on construction progress and site conditions; ensure safety protocols are followed.
Project Coordination & Documentation
- Track project documentation, timelines, and deliverables
- Coordinate and distribute meeting minutes for internal and external meetings
- Maintain accurate and up-to-date project records, ensuring completeness and audit readiness
- Support warranty and deficiency tracking and follow-ups
Client & Sales Support
- Act as a primary point of contact for client inquiries and communications
- Prepare and issue sales documentation and assist with client coordination
- Support management of client expectations throughout the project lifecycle
Systems, Data & Office Administration
- Manage and maintain company databases, cloud-based file systems, and document control processes
- Perform data entry and ensure accuracy of project and company records
- Manage office supplies, ordering, and general office organization
- Provide day-to-day administrative support across departments
- Assist with preparation and issuance of construction contracts, subtrade agreements, purchase orders, change orders, and site instructions
- Facilitate trade partner onboarding, including vendor setup and coordination of required documentation
- Maintain communication with vendors to collect and track contracts, insurance certificates, and WCB documentation
Skills
- Proficiency in construction management software including ConstructionOnline an asset
- Strong understanding of construction estimating, project scheduling, contract management.
- Experience with construction site operations and familiarity with schematics and technical drawings.
- Excellent time management skills with the ability to prioritize multiple tasks effectively.
- Knowledge of construction contracts, legal considerations, and project documentation standards.
- Effective communication skills for coordinating among diverse teams and stakeholders.
The successful candidate will be hired as a subcontractor to Boxfort.
