By The Lake Dental is looking for an experienced leader to take responsibility for our Scarborough office.
This is more than a traditional dental office management position.
We are looking for someone who understands dentistry, understands people, and understands that an exceptional patient experience and a strong, well-run business go hand in hand.
Our Office Manager is the leader of the Scarborough office. They set the tone for the team, develop and mentor people, bring structure and accountability to the day-to-day operation, and ensure that our patients consistently experience the standard of care and service that defines By The Lake Dental.
Working closely with our Operations Manager and BTLD leadership team, this person will have meaningful responsibility and autonomy in leading the office and translating our broader strategy into daily execution.
The Role
As Office Manager, you will take ownership of the overall performance of the Scarborough office.
Your responsibilities will include:
- Leading, mentoring, and supporting the Scarborough team.
- Creating a positive, organized, accountable, and high-performing working environment.
- Ensuring the patient journey, from the first interaction through treatment and ongoing care, is consistent with BTLD's standards.
- Managing staffing and scheduling based on provider availability, patient demand, and business needs.
- Monitoring office performance and using data and performance indicators to identify opportunities and take action.
- Supporting effective treatment scheduling, follow-up, collections, and other processes that contribute to the financial health of the practice.
- Coaching team members, recognizing strong performance, providing regular feedback, and addressing performance concerns when necessary.
- Participating in recruitment, onboarding, training, and ongoing team development.
- Ensuring BTLD policies, procedures, systems, and organizational initiatives are implemented consistently.
- Identifying operational inefficiencies, understanding their root causes, and working with the Operations Manager to implement practical solutions.
- Addressing patient concerns with empathy, professionalism, sound judgment, and a solution-oriented approach.
- Maintaining strong communication between the Scarborough team, Operations Manager, clinical leadership, and other areas of BTLD.
- Leading and supporting team meetings and ensuring expectations, priorities, and responsibilities are understood and acted upon.
Leadership & Culture
At By The Lake Dental, our culture is built around six pillars:
Communication | Honesty | Empathy | Impact | Curiosity | Passion
These are not simply words on a wall. They guide how we work with our patients, how we work with one another, and how we lead.
The Office Manager sets that standard with the Scarborough team.
We are looking for someone who can build relationships while still having difficult conversations. Someone who recognizes and develops talent, but who is equally comfortable establishing expectations and accountability.
Above all, we are looking for a leader and mentor, someone who understands that strong teams are developed, not simply managed.
We also believe that a successful dental practice requires a healthy relationship between patient experience and business performance. The Office Manager must understand both.
Delivering excellent care and service while maintaining an efficient and financially healthy practice are not competing priorities. They are complementary responsibilities.
Who We Are Looking For
We are interested in candidates who bring at least five years of relevant dental, healthcare, clinical, or practice leadership experience, with demonstrated experience leading people and contributing to the performance of a practice or organization.
A clinical background in dentistry is strongly preferred.
You may have worked clinically in dentistry, trained as a dental professional, or built your career in dental practice management. What matters is that you have a strong understanding of the clinical environment and can use that knowledge to effectively lead the patient experience, the team, and the operation.
The successful candidate will demonstrate:
- A minimum of five years of relevant experience within dentistry, healthcare, or a comparable clinical environment.
- Proven leadership experience, including coaching, mentoring, and developing team members.
- A strong understanding of dental office operations, clinical workflow, and patient flow.
- Demonstrated experience managing and improving the customer or patient experience.
- Strong knowledge of dental insurance, benefits, coverage, and treatment coordination.
- The ability to understand business and practice-performance metrics and use them to guide decisions.
- Strong communication and interpersonal skills.
- Sound judgment and the confidence to address difficult situations directly and professionally.
- The ability to manage competing priorities in a busy clinical environment.
- A proactive and solution-oriented mindset.
- An understanding of the relationship between patient experience, team performance, and the financial health of a dental practice.
- Experience with dental practice-management technology. Knowledge of Oryx Dental and Dentrix is an asset.
- A willingness to step into the operation when needed while maintaining the broader perspective and responsibility of a leader.
The Person Behind the Experience
- Experience matters to us. So does how you lead.
- We are looking for someone who takes ownership and accountability.
- Someone who is engaged enough to notice when something isn't working and takes action.
- Someone who asks questions, looks beyond the immediate problem, and works to understand the underlying cause.
- Someone who recognizes good performance and looks for opportunities to develop people further.
- Someone who is comfortable having difficult conversations when they are necessary.
- Someone who understands that leadership means being present and willing to support the team while still maintaining the perspective of the person responsible for leading it.
- And someone who understands that the success of an office is ultimately a reflection of the team, culture, systems, and leadership behind it.
Reporting & Collaboration
- The Office Manager reports directly to the Operations Manager and works closely with BTLD's leadership.
- The Operations Manager is responsible for maintaining operational alignment across By The Lake Dental and overseeing our broader operational strategy.
- The Office Manager is responsible for translating that strategy into consistent execution within the Scarborough office.
- This is a hands-on leadership position with meaningful responsibility, accountability, and autonomy.
Compensation & Benefits
Salary: $75,000–$85,000 annually, commensurate with experience and qualifications.
The position also includes a comprehensive health benefits package and health spending account.
