Position Summary
Canada Trade Inc. is seeking a highly organized and detail-oriented Technical Assistant & Logistics Coordinator to support our growing export operations. The successful candidate will assist with logistics coordination, export documentation, inventory and shipment tracking, supplier and freight-forwarder communication, and technical/administrative tasks related to international FMCG shipments.
This position is ideal for someone who enjoys working in a fast-paced environment, can manage multiple priorities, and has strong attention to detail. Experience in FMCG, food products, wholesale distribution, international trade, logistics, or export operations is an asset.
Key Responsibilities1. Logistics & Shipment Coordination
- Coordinate the preparation and movement of domestic and international shipments.
- Communicate with freight forwarders, carriers, warehouses, suppliers, and customers.
- Coordinate container loading, consolidation, pickup, delivery, and shipment schedules.
- Track shipments from warehouse dispatch through final delivery.
- Maintain accurate shipment records and update internal systems.
- Assist with arranging sea, air, and land transportation.
- Monitor shipment timelines and proactively communicate delays or changes.
- Coordinate warehouse activities related to receiving, picking, packing, consolidation, and dispatch.
2. Export Documentation
- Prepare and organize export and shipping documentation.
- Assist with commercial invoices, packing lists, certificates, bills of lading, and other export documents.
- Ensure shipment documentation is complete and accurate before dispatch.
- Coordinate documentation requirements with customers, suppliers, freight forwarders, customs brokers, and other service providers.
- Maintain organized electronic and physical records for completed shipments.
- Assist with food export and regulatory documentation when required.
3. Technical & Administrative Support
- Enter and maintain product, customer, supplier, and shipment information in company systems.
- Assist with product specifications, product data sheets, barcodes, dimensions, weights, and packaging information.
- Review product information and identify missing or inconsistent data.
- Prepare spreadsheets, reports, shipment summaries, and operational documents.
- Assist management with data collection and operational analysis.
- Maintain organized digital files and documentation.
- Support the implementation and maintenance of internal procedures and workflows.
4. Inventory & Warehouse Support
- Monitor inventory availability for export orders.
- Coordinate with warehouse personnel regarding incoming and outgoing products.
- Assist with inventory reconciliation and identifying discrepancies.
- Verify quantities, SKUs, lot information, expiry dates, and shipment requirements.
- Help ensure products are properly prepared and documented for international shipment.
- Assist with maintaining accurate inventory and shipment records.
5. Supplier & Customer Coordination
- Communicate with Canadian suppliers and wholesalers regarding product availability, pricing, orders, and shipping requirements.
- Follow up on purchase orders and supplier confirmations.
- Assist the sales team with customer order requirements and shipping information.
- Communicate professionally with international customers and logistics partners.
- Follow up on outstanding documentation, payments, pickups, and deliveries.
6. Compliance & Quality Support
- Assist with maintaining documentation required for food and FMCG exports.
- Support company procedures related to product traceability, documentation, and shipment compliance.
- Verify product information against customer and destination-market requirements.
- Escalate documentation, product, inventory, or shipment discrepancies to management.
Qualifications
- Post-secondary education in Logistics, Supply Chain Management, International Business, Business Administration, or a related field is an asset.
- Previous experience in logistics, export, import, warehouse coordination, wholesale distribution, or FMCG is an asset.
- Strong computer skills, particularly Microsoft Excel, Word, Outlook, and cloud-based business systems.
- Experience with ERP, CRM, inventory, or accounting systems is an asset.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to communicate effectively with suppliers, customers, carriers, and freight forwarders.
- Ability to work independently and as part of a team.
- Ability to manage multiple shipments and priorities simultaneously.
Technical Skills
The successful candidate should be comfortable working with:
- Microsoft Excel and spreadsheets

Experience with Zoho, Odoo, Shopify, or similar business platforms is an asset.

Working Environment
This is a hands-on position involving both office/administrative work and coordination with warehouse and logistics operations. The successful candidate may be required to communicate with suppliers, freight forwarders, warehouse personnel, customers, and international business partners.
The position requires flexibility to manage changing shipment schedules and urgent operational requirements.
