The Role
Canco is seeking a focused and skilled Logistics Coordinator to support the Fuel team. This person will be responsible for coordinating fuel deliveries, monitoring inventory levels, maintaining accurate documentation, and supporting efficient fuel distribution operations. The successful candidate will work closely with carriers, store managers, and internal stakeholders to ensure timely deliveries and uninterrupted service to our locations and customers.
Responsibilities
- Plan, coordinate, dispatch, and track daily fuel deliveries to company locations and customers.
- Monitor site inventory levels and consumption trends to identify upcoming fuel requirements and potential runout risks.
- Review scheduled deliveries and ensure appropriate quantities, products, delivery windows, carriers, and locations are assigned.
- Monitor deliveries throughout the day and follow up on delayed, missed, rejected, or incomplete loads.
- Coordinate same-day emergency and expedited fuel deliveries when operational conditions require.
- Communicate delivery schedules, ETAs, delays, and operational concerns with carriers, stores, customers, and internal teams.
- Review and quality-check system-generated delivery plans and routes for completeness, accuracy, and operational efficiency.
- Make delivery and routing adjustments as required due to inventory changes, carrier availability, terminal issues, site restrictions, weather, or other operational conditions.
- Coordinate with carriers regarding driver availability, equipment availability, delivery requirements, and service performance.
- Maintain accurate fuel delivery documentation and operational records.
- Collect, review, and post Bill of Lading (BOL) confirmation information into the required systems to support inventory reconciliation and timely customer invoicing.
- Follow up on missing or incorrect BOLs and assist in resolving product, quantity, or delivery discrepancies.
- Assist with terminal, supplier, loading badge, and fuel lifting coordination as required.
- Coordinate logistics requirements and site surveys for new locations and customers, including site access, tank information, delivery restrictions, and carrier requirements.
- Monitor operational exceptions such as terminal outages, carrier delays, inventory concerns, delivery fit issues, and product availability, and escalate significant concerns to management.
- Maintain communication between the Fuel Department, Operations, carriers, locations, customers, and other internal departments.
- Maintain and update logistics reports, delivery trackers, carrier information, site information, and other operational data.
- Support continuous improvement of fuel delivery processes, systems, and operational procedures.
- Perform other related duties as assigned by the manager to support the smooth operation of the Fuel division.
What You Bring
- 2+ years of experience in logistics, transportation, dispatch, fuel operations, supply chain, or a related field.
- Previous dispatching or transportation coordination experience is preferred.
- Strong Microsoft Excel skills and proficiency with Microsoft Office applications.
- Experience working with logistics, dispatch, inventory, ERP, or transportation management systems is considered an asset.
- Strong attention to detail and commitment to maintaining accurate operational records.
- Excellent communication, organizational, and problem-solving skills.
- Ability to manage multiple priorities and respond effectively to changing operational conditions.
- Ability to work independently while collaborating effectively with carriers, locations, customers, and internal teams.
- Strong sense of urgency and ability to make sound operational decisions in a fast-paced environment.
- Adaptability and willingness to learn new systems, processes, and software.
- Availability to participate in weekend or after-hours coverage as required by operational needs.
