Job Summary
The Shipping Clerk’s responsibilities include shipping and dispatch coordination; order fulfillment and packaging; and managing inventory, receiving, and material movement tasks. Attention to detail is critical to avoiding shipping errors.
Duties and Responsibilities:
- Develop and maintain positive carrier relationships while coordinating transportation requirements, resolving delivery issues, and supporting continuous improvement of freight operations.
- Coordinate and dispatch outbound shipments using approved carriers to ensure on-time customer delivery.
- Prepare, review, and maintain shipping documentation including bills of lading, packing lists, shipping labels, and freight records.
- Verify shipment accuracy and ensure products are properly packaged, loaded, and shipped according to customer and carrier requirements.
- Provide transportation support by obtaining freight rates, selecting cost-effective carriers, and assisting with freight cost tracking.
- Maintain effective communication with customers, carriers, production, and internal departments regarding shipment status and delivery requirements.
- Proactively minimize detention charges and ensure accurate documentation, billing, and invoice verification.
- Coordinate inventory availability with production schedules and shipping requirements to support customer orders and operational needs.
- Ensure proper and safe loading shipments to maintain product integrity and comply with carrier requirements.
- Perform cycle counts, inventory audits, and inventory transactions within the ERP system, investigating and resolving discrepancies as required.
- Support the receiving, storage, transfer, and shipment of raw materials and finished goods.
- Maintain accurate inventory, shipping, and transportation records.
- Ensure compliance with company policies, safety standards, transportation regulations, and quality requirements.
- Track and report key shipping and inventory performance metrics.
- Ensure shipments comply with DOT, OH&S, and company shipping guidelines.
- Identify and recommend process improvements to enhance efficiency, accuracy, and customer service.
- Support 5S, Lean Manufacturing, and housekeeping initiatives within the shipping and warehouse areas.
- Cross-train with and provide backup support to other administrative and operational functions as required.
- Provide support across shipping, inventory, warehouse, and production operations as required, including housekeeping and continuous improvement activities, to support plant efficiency and maintain a safe and organized workplace.
- Perform other duties as assigned.
Required Knowledge/Skills/Abilities:
- Proven 3+ years of work experience as a Shipping Clerk or Dispatch or similar role.
- Forklift certification is an asset.
- Ability to multitask and pay close attention to detail in a fast-paced environment.
- Excellent team player, able to follow instructions from both management and peers
- Ability to follow written and oral instructions, procedures, and guidelines.
- Excellent and professional communication skills
- Ability to lift items and containers up to 50 pounds.
- Ability to use measuring devices (gauges, tapes, rulers)
- Ability to analyze data, identify trends, and propose solutions to improve inventory control.
- Flexibility to work different hours throughout the week as needed.
- Able to operate ERP systems and shipping software and portals (e.g., FedEx, UPS, freight carriers) for label generation and tracking.
- Good in MS Office.
- Must demonstrate safe working practices
Education and Experience:
- High School Diploma or GED required.
- Logistics/Supply Chain experience preferred.
- 3+ years of in-house production, shipping, or material handling experience.
Working Conditions:
- Exposure to all weather conditions including high heat, extreme colds, rain, snow, ice, and wind.
- Fast pace congested material handling equipment traffic.
- Exposure to loud noises that will require hearing protection
- Potential for a drafty work area.
- Exposure to hazardous materials including but not limited to EPS dust, combustible dust, fumes, handline of raw material chemicals.
- Pinch hazard from moving mechanical parts on forklift, truck doors, etc.
- Occasional exposure to moving mechanical parts or machinery
